Work-based Learning milestone activities can now be opened directly
An external link icon has been added to each activity on the Placement Milestone screen. Selecting the icon opens the corresponding placement logbook activity in a new browser tab.
Added a feedback button to Milestones configuration
A new Give feedback button has been added to the Milestones configuration header, making it easier to provide feedback while configuring milestones.
USI verification now provides more detailed error messages
When a USI cannot be verified, learners will now see a more specific error message indicating whether their given name, surname, or date of birth does not match their USI record. This improvement applies to both the Learner Onboarding form and the Profile Settings page in the Learner Portal.
Form Builder lists updated with a modern table experience
The Forms, Portfolio Types, and Portfolio Checklists lists within Form Builder have been upgraded to use our new datatable component, providing a more modern and improved user experience.
AI Question Generation now uses AWS Bedrock
AI Question Generation has been upgraded to use our new AWS Bedrock model, improving the quality and flexibility of generated questions. This update delivers better scaling for larger question sets, greater variability in multiple choice answer options, and enhanced extraction of questions from uploaded documents.
Enhanced Competency List management with new filtering and search capabilities
The Competency List has been enhanced to support multiple competency types, making it easier to organise and distinguish competency records. Users can now filter competencies by type, search using either the competency name or code, and quickly clear search and filter selections using the new Reset option, providing a more efficient way to find and manage competencies.
Skills module now includes descriptive browser page titles
The Skills module now displays descriptive browser tab titles across Skills Configuration and Workforce Management pages, making it easier to identify tabs when working across multiple pages.
Help Request ratings have been renamed
In preparation for Help Requests being introduced to the Client Portal, the Learner Rating field has been renamed to Rating throughout the Help Requests feature.

Work-based Learning Milestones
Work-based Learning brings your paper-based placement management into aXcelerate with, digital logbooks, evidence capture, and supervisor sign-off.
Milestones takes it further, letting you structure placements into defined stages with clear criteria that learners must meet before progressing.

- Supervisors and trainers can review and sign off on milestones directly within aXcelerate

View placement log entries by Unit
Work-based Learning now includes a Unit view for logbooks, giving users a consolidated look at all activities and log entries grouped by the unit each activity is mapped to. This makes it easier to see what Learners are logging against each unit, and to track total hours or repetitions at a glance.
Improved Competency and Authorisation Matrices, and new Training Needs Analysis matrix
The matrix interfaces in Skills have been significantly enhanced with new filtering, display, and analysis tools, giving admins and managers more control over workforce competency and authorisation data without needing to export to a spreadsheet. A new Training Needs Analysis mode lets users select a role and instantly view each worker's progress against that role's competencies.
Admins and managers can now:
- Filter the Authorisation Matrix by authorisation status, days until expiry, organisation, and restriction
- Filter the Competency Matrix by competency status, days until expiry, and organisation
- Choose which competency columns are displayed in the Competency Matrix
- Toggle expiry dates on or off inside matrix cells for both matrices
- Reset all active matrix configuration options in a single action
- Use Training Needs Analysis mode to select a role and view workers' progress against its mandatory and additional competencies, with "Not Started" shown for any competency not yet begun
AI Features navigation added to Settings
A new AI Features menu item has been added under Settings, providing easier access to AI-related configuration and functionality.
Updated warning messages in Assessment and Item Authoring
Warning messages throughout Assessment and Item Authoring have been updated to use clearer, more user-friendly language. Error indicators and field styling have also been improved to better highlight issues across assessment content, feedback, evidence, notes, and related authoring areas.
Contact quick search now includes middle names
The contact quick search feature now includes middle names in search results, improving the ability to locate contacts.
New report filter for classes with missing learning activities
A new filter has been added to the Classes - Warehoused report to identify classes where the number of assigned assessments or e-learning activities is lower than the number defined in the linked Learning Plan. This helps administrators quickly identify incomplete class configurations.
Managers can access Skills Role Progress reports
Managers can now run the Role Progress Report in Skills, with results automatically filtered to workers within their reporting structure.
Client Portal enrolments for classes already in progress
Client Portal users can now enrol contacts into classes after the class start date has passed, as long as no close days value has been configured. This better supports organisations using rolling enrolment workflows and aligns Client Portal enrolment behaviour with how enrolments work in the rest of the system.
Assessment matrix columns now sort alphabetically in the Client Portal
Assessment columns in the Client Portal assessment matrix are now sorted alphabetically by assessment name, making information easier to locate.

A new way to view Workshop types
The new Workshop types experience provides a direct overview of your workshop types, letting you view relevant information immediately, and allows filtering for additional granularity. This new view provides a refreshed, more holistic way to view your workshop types.
The new workshop types experience will be enabled by default and can be viewed as the "New Workshop Types Experience" option within System Settings > Additional options. To return to the legacy view, simply update this setting to "No".

Smart and Skilled AVETMISS Reporting Exclusions
NSW Smart and Skilled clients can now mark individual Unit enrolments as finalised once reported to the State Government, allowing them to choose whether finalised Units are included or excluded when generating reports.
Previously, entire Class enrolments needed to be excluded from AVETMISS reports with the general “Do NOT report to AVETMISS” flag, but this limited flexibility and was not as obvious to the user compared to a dedicated setting.
To support this update, the following changes have been made:
At the Unit enrolment level: An ‘Enrolment is finalised and reported’ checkbox will appear for enrolments in Classes using the “NSW Smart and Skilled (eReporting)” format. Ticking this indicates the enrolment has already been submitted to the NSW Government.
At the AVETMISS reporting level: An ‘Include Finalised NSW Smart and Skilled Enrolments’ checkbox will appear when choosing the State/Reporting Format of “NSW Smart and Skilled (eReporting)”. When ticked, finalised NSW Smart and Skilled enrolments will be included in generated NAT files.
These configurations are unchecked by default, so existing reporting behaviour is unchanged unless explicitly enabled.
Note: The existing ‘Do Not Report to AVETMISS’ flag continues to take precedence; any enrolment with this setting enabled will never be included in AVETMISS output, regardless of finalised status or reporting configuration.
This change applies only to enrolments under the NSW Smart and Skilled reporting standard. All other funding sources and reporting standards are unaffected.
These records will be excluded from future Smart and Skilled AVETMISS reports by default, with the option to include them when required. This change does not affect AVETMISS reporting for the national collection.
aXcelerate app Workshop List visibility improvements
The workshop list now displays workshops consistently with what is shown in the Manage Workshops screen, removing the previous session-based filtering.
- Users with the "View workshop instance" permission will now see all workshops in the workshop list.
- Users without that permission will still see any workshops they are directly assigned to as a session participant.
This change maintains consistency and visibility of available workshops across both the web and mobile app.
aXcelerate app quality of life improvements
This release includes a number of improvements across the app to make it easier to use and more consistent throughout.
- Action menus now look and behave the same way everywhere in the app, with better icon alignment and clearer styling for destructive actions like deletions.
- Marking attendance is now more intuitive; the Attended and Absent buttons are visually highlighted when selected, making it easier to see which option has been chosen.
- Discarding changes now shows clearer messaging to let you know that unsaved changes will be lost, and the confirmation buttons are larger and easier to tap.
- Searching for contacts — the "X" button now clears what you've typed, while the back arrow closes the search entirely, bringing the behaviour in line with what you'd expect.
- Sign-off and attendance detail screens have been updated under the hood for better performance and stability.
- Buttons at the bottom of pop-up panels now stay visible even when there is a lot of content to scroll through, so you no longer have to scroll down to find them.
HubSpot Contact ID Mapping for One-Way Sync
Contact ID can now be mapped to a HubSpot property under HubSpot Configuration > Fields > Contacts. This is a one-way sync, meaning changes made to this value in HubSpot will not be reflected in aXcelerate and will be overwritten by subsequent contact updates within aXcelerate.

AX-26517 - An issue has been resolved where several filters in the Skills Role Progress report were incorrectly labelled as "Num Competencies" instead of their specific competency counts.
AX-26547 - An issue has been resolved that prevented Enterprise Azure users from creating their own user record through SSO login.
AXSO-1440 - An issue has been resolved where competency timestamps in the Skills Manager Portal were not displayed using the client domain's configured timezone.
AXSO-1548 - An issue has been resolved where competencies could be incorrectly marked as expired or expiring soon due to recertification configuration issues.
GLO-302 - An issue has been resolved where unticking "Add to Favourite" on a tag and saving would not persist the change.
GLO-449 - An issue has been resolved where a contact would fail to open in the client portal if their employer record was outside the client user's org scope, causing the page to redirect back to the contact list. The employer field now displays a warning state instead, and the contact loads normally.
GLO-471 - An issue has been resolved where qualification images with special characters (such as parentheses) in their filename would fail to render in the client portal course browse view.
GLO-477- An issue has been resolved where the USI column popover on the contacts page would render outside the viewport, making it unreadable.

AI Settings access
More AI settings are now available for more customers to enable. We’re working hard on moving our AI settings to Australia-hosted infrastructure, so you can have peace-of-mind and maintain data sovereignty compliance when using aXcelerate AI features. As of this release, eligible customers will be able to enable: AI short answer and multi-short answer marking, AI learner support agent, AI question title generation, and AI template generation, with more on the way.
These features can be enabled from System Settings > AI features. Customers who are not yet eligible can submit this form to request access.
Audit log exports are now available
Audit Log views can now be exported! Once your Audit Log is filtered to show exactly what you need, head to the Export option in the top-right corner to download the results. The ability to export Audit logs is available to Platinum service clients. Please reach out to our Customer Success Team here to discuss the benefits of Platinum Service, including the Enhanced Audit Log.
Key Organisation Contacts improvements
The Key Organisation Contacts list now presents organisation-assigned Role(s) and Contact Position as separate, clearly distinguished values. Contacts are also sorted alphabetically by name, making it easier to find who you're looking for.
Workshop List API filtering by Domain and Trainer
The Workshop List API now better supports Domain and Trainer filtering, helping the Workshop List table show workshops that are relevant to a user’s assigned scope. To provide feedback on the Workshop List beta, select the Feedback option in the top right of the page or complete the survey here.

A new way to search workshops is here! Workshop list open beta
The new Workshop List feature is now available as part of an open beta program and provides a direct overview of your upcoming workshops, lets you view relevant information immediately, and allows you to filter for additional granularity.
This delivers a refreshed, more holistic way to search for and view your workshops and will replace the current ‘Search Workshops’ view in the future.
To access the new workshops list, select ‘Manage workshops’ within the Workshops submenu.

aXcelerate Academy's new finance course is now available
A new finance course is now available in aXcelerate Academy to help users build practical skills for managing finances in aXcelerate. This course covers how to set up invoicing, track payments, process refunds, automate fees and monitor outstanding balances, helping teams spend less time chasing numbers and more time focused on their learners. This and other modules can be accessed directly from the Help menu, or by enrolling here.
Enrolment transfers now attach the Learner Onboarding form of the destination course
When transferring a learner between workshop instances or classes, the enrolment will now pick up the destination course's onboarding form. The previous onboarding form submission will be removed, and admins will have the option to automatically enrol the learner in the destination course's onboarding form.
Admins will see:
- A checkbox (checked by default) to enrol the learner in the destination course's onboarding form during the transfer
- The destination form name as a link when a form is linked to the destination class
- The previous form submission is always removed on transfer, regardless of whether a new form is assigned
Skills and Authorisation Matrix filtering improvements
New filters have been added to the Skills Matrix and Authorisation Matrix, allowing users to filter by competency status and authorisation status. Reset options have also been added, allowing users to easily clear their filters and searches.
Skills Role Progress Report
A new Role Progress report has been added under the Skills reporting menu, giving organisations clearer visibility of each worker’s progress towards meeting the competency requirements of their assigned role.
Workshop Sessions template field added
The Delivery Location Address field has been added to the Workshop Sessions Multi-Row template options.
Trainer competency warnings added for accredited workshops
When selecting a Trainer during the creation of an accredited Workshop instance, a warning will now appear if the chosen trainer does not have the “Train and assess” competency for all relevant Units of Competency.

Invoices in the Client Portal
Client users can now view and pay invoices directly within the Client Portal. Client users with the Finance: View permission will see a new Invoices section in the client portal navigation, where they can view all invoices associated with their organisation, filtered by billing contact.
Selecting an invoice opens a details view showing a full breakdown of the invoice, including your training organisation's logo. From here, client users can download the invoice as a PDF or proceed to payment directly from the client portal.
aXcelerate App Updates & deprecation of the Legacy Trainer App
On 29 April 2026, the Legacy Trainer App will be officially retired.
After this date, the app will cease to function, and users will no longer be able to log in or access their data through the Legacy Trainer App. Trainers will instead need to download and use the aXcelerate App.
The aXcelerate App is available on the Apple App Store and Google Play Store.
The aXcelerate App has been designed with user experience at its core. This update brings a host of improvements to streamline your workflow, enhance usability, and ensure the authoring experience aligns with our modern design standards.
Version 3.16.0 will be coming soon with some quality of life improvements and bug fixes, including:
- New shortcuts on the workshop details page, giving users faster access to contact details as well as quick actions to the contact details tab to launch your device’s default phone, maps, and email apps
- When bulk marking attendance, an Override Marks pop-up will now appear if any selected learner already has a status, including Absent or Attending
- The Classes tab will become the default selected tab when viewing Enrolments from a Contact
- The ability to upload HEIC format files as part of trainer feedback to better support Apple devices
- Attach an image as feedback without text
System users can no longer be deleted
For security and compliance purposes, deleting system users is no longer available. This ensures that historical records and Audit logs tied to a user are preserved.
To manage user access, you can deactivate a user (which immediately revokes their access, preventing them from logging in) or merge them with an existing user to combine their records.
Learner Portal assessment accessibility improvements
Accessibility improvements have been made to assessment elements in the Learner Portal, including improved file upload item icons for better visibility and screen reader support, as well as improved contrast for the Assessment progress bar.
Skills Approval Request interface
Approval Requests have been added to Skills to make it easier for administrators to find and action pending approvals in one place, instead of relying on email notifications or searching through individual worker records.
You can now:
- View pending approval requests for Workshops, Portfolio, and Prior Learning
- Sort by submitted date (newest first by default)
- Filter by request type and search by Contact ID
- Open a request to review details, then approve or reject directly
Approval Requests can be viewed within the Workforce Management subsection.
Note: Access is currently limited to administrators with the Workforce Management – View permission.
Skills Training Needs Analysis Report
A new Training Needs Analysis report is now available in the report builder for customers using Skills. This report provides a clear, role-based view of each worker’s competency requirements by presenting every worker–role–competency combination in a single, comprehensive dataset.
Fixes
AX-25884 - An issue has been resolved where “Competency” Portfolio Types could be moved to other portfolio categories, or other Portfolio Types could be changed to the Competency category. As the Competency category is reserved for Skills Prior Learning uploads, these category changes are now prevented to maintain the connection with Skills and protect data integrity.
AX-26028 - An issue has been resolved where the Update Unit of Competency button was not working correctly when editing accredited Units.
AX-26085 - An issue has been resolved where invalid values could be entered into the Minimal Total field when creating a new Payment Plan.

USI verification status is now visible in the client portal
Client portal users can now view USI verification statuses directly in the portal.
Administrators who wish to restrict this access can do so using System Fields (Settings > System Fields), which allows you to control the visibility of individual contact fields per user role. To hide USI fields from client users, set the "Learner Identifiers" fields to Restricted or Off in the System Field configuration for the applicable client user role. Further information on system fields can be found in our dedicated article.
Providers are responsible for ensuring USI visibility complies with their consent obligations under USI legislation; restricting access via System Fields is the recommended mechanism for restricting client users who should not be able to view learner USIs.
Work-based Learning Placements list now retains filters when returning from a placement
When filters are applied to the Placements table, users can now open a placement and navigate away without losing their selected filters. This makes it easier to review multiple placements without needing to reapply filters each time.

The Audit Log is now available, providing greater transparency across key object types in aXcelerate by recording when a user attempts to update or change data within the system.
It provides a clear record of changes, including the time, date, actor, object, and intended update, helping teams improve oversight, monitor user activity, and maintain data integrity. Check out our dedicated Audit Log guide to find out more!
At the time of release, tracking is available for the following items: Users, User Roles, Contacts, Qualifications, Courses/ Classes, Workshops, Workshop Bookings, Trainers and Portfolio Types.

Clients can now add PO numbers during enrolment in the new Client Portal
A new setting has been added to allow client users to enter a PO number when enrolling learners through the new Client Portal. This gives organisations greater flexibility to capture purchase order details during the enrolment process.
Client Portal qualification enrolment dates are now clearer
The Client Portal qualification enrolment table now shows learner enrolment start and end dates instead of course dates, making enrolment timelines easier to understand. This provides clearer visibility of when a learner is actually scheduled to begin and finish within a course.
Quick search now links to full organisation contact search results
Users can now use the navigation quick search to go directly to the full contact search results page when searching for an organisation. This makes it easier to move from a quick lookup to a broader results view for faster navigation and follow-up actions.

Enhancements to Attendance, Enrolments, and Offline Assessment Workflows in the aXcelerate App
Several enhancements have been introduced to the aXcelerate App to improve trainer workflows.
Trainers can now capture a learner’s signature while marking attendance directly within the app. By long-pressing a learner's name in the attendance sheet, trainers can now capture a learner’s signature during the attendance marking process. The signatures are saved with the attendance record, providing stronger verification of attendance and supporting compliance and audit requirements.
A new Enrolments tab has also been added to Contact profiles within the app. This provides a clear overview of all enrolments associated with a contact. Support for navigating to enrolments will be introduced in a future release.
Additionally, trainers can now add feedback, internal comments, and evidence to assessment items while working offline. Any information entered while offline is securely retained on the device and will automatically synchronise once the device reconnects to the internet. This ensures trainers can continue marking and documenting assessments even in environments with limited or no connectivity, such as on-site training or remote delivery.
Improved Contact Search & Mini Profile
A new and improved contact search will be rolling out over the next few weeks. Accessible from the navigation menu or the Ctrl + K keyboard shortcut (Cmd + K on a Mac), this new search will allow you to find contacts even if you make minor spelling mistakes, and show you a preview of the contact before you click. So in cases where you don't know the exact spelling of a contact's name, or you need to verify details, these improvements make it easier to find the contact you're looking for by showing a mini contact profile preview so you can confirm you have the right contact before clicking through.
Learner Portal accessibility improvements
We’re continuing to roll out a host of accessibility improvements, including updates to Learner Portal navigation, such as improved State and Gender dropdowns, top navigation tabs and sidebar menus on small screens, the use of links in sidebar navigation, and correct keyboard focus behaviour for the menu.
We’ve also made accessibility improvements to assessment interactions, including clearer accessible names for dropdowns and buttons, better labelling for fill-in-the-blank items, keyboard support for hotspot and image annotation components, and an update to the rich text editor.
Webhook payloads now include merged contact IDs
We’ve added the mergedContactIds property to the contact.contact_merged webhook event to make it easier to identify all merged records.

Control user notifications for new client portal enrolments
A configuration option has been added to the client portal settings, allowing administrators to control which user types receive notifications when a new enrolment is submitted. This provides additional customisation and helps reduce unnecessary emails while ensuring the right users are kept up-to-date on new enrolments.
Learner Portal Sub-Branding
Learner Portal sub branding lets you tailor the look and feel of the learner portal depending on the course a learner is undertaking. Admins can now customise the logo, background image and theme linked to each Domain to create a different branded learner experience ideal for training organisations supporting multiple brands. This can be enabled by editing the Domain from the RTO / VET settings tab which will change the branding in the Learner Portal for courses assigned to that Domain.

Improved Keyboard Accessibility in Learner Portal Navigation
Keyboard accessibility has been enhanced within the Learner Portal navigation, including corrected focus order for the calendar icon in the navigation bar, making it easier to get to with the TAB key, and improved keyboard interaction for the account switcher in the profile menu. These updates provide a more intuitive and accessible navigation experience for keyboard users.
Client Users Can Change a Contact’s Organisation Within Their Hierarchy
Client users can now update the organisation associated with their contacts, provided the new organisation sits lower in their organisation tree. This improves flexibility when managing contacts across organisational structures, and allows client users to add contacts for other organisations within their organisation tree.
Quick Search Now Links to Full Contact Search Even with No Results
Users in multi-RTO account setups can now navigate directly to the full Contact Search page from Quick Search, even when no contact results are returned. This ensures faster access to advanced search functionality. It’s also a handy shortcut if users wish to search by other contact properties.
Enrol API Can Now Issue Invoices to Contacts Instead of Organisations
The /course/enrol API endpoint has been updated so invoices generated during enrolment now use the Contact’s address instead of the Organisation’s address. This provides greater flexibility when billing individuals directly.
Updated “Aust. Apprenticeship Support Network” Terminology
References to “Aust. Apprenticeship Support Network” have been updated to “Apprentice Connect Australia Provider” to reflect current industry and government terminology.

aXcelerate App Improvements: Workshop & Contact Notes, Better Class Filtering & more
Several improvements have been made to the aXcelerate App to enhance productivity and on-the-go access. Users can now create and view Contact Notes and Workshop Notes directly within the app, making it easier to capture important learner and workshop information in real time.
Formatting improvements have also been made to the Items tab within assessments when bulk marking learners. All supported HTML elements now display correctly during the marking process, ensuring assessors see content as intended and increasing consistency when reviewing submissions. The Classes screen now includes “Current & Upcoming” and “Past” filters, allowing users to quickly locate relevant classes without manually sorting through historical records.
Finally, Contact phone numbers and email addresses now include a copy-to-clipboard option, improving efficiency when communicating with learners.
Client users can now browse upcoming courses via the client portal
Upsell your clients on other course offerings, and let client users see upcoming courses to enrol their learners. Admins can control visibility of workshop types and qualifications in the new client portal, and clients can search instances by date, location, private/public.

Print option available when marking attendance Ideas Forum
A new print option has been added to the Mark Attendance screen, giving users a quicker and more convenient way to generate a PDF of the attendance page, and to allow a physical copy to be marked and retained for record keeping and auditing purposes.
Custom Fields now included within Learner Onboarding Form Capture
Learner onboarding form capture automatically generates a PDF record of a student's form submission to ensure all enrolment data is documented and saved. We have now upgraded this feature to dynamically include fields present in your form in the generated PDF and now also support custom fields. This change ensures all the information a learner enters during onboarding is captured for better visibility and audibility of the submission.
Units are now displayed when enrolling into a class via the client portal
The qualification enrolment view in the new client portal has been updated to display the units covered by the selected class to provide additional clarity on course content when client users enrol learners.
Contact Notes can now be updated and deleted via the API
The contact notes API endpoint now supports deleting and updating notes for use in external integrations.

Hyperlinks have been added to the contact search page for contacts that exist in other aXcelerate accounts, making it easier to navigate between related records in a Multi-RTO configuration.
Contact Note & Workshop Note API endpoint improvements
The Contact Notes and Workshop Notes endpoints have been extended to support deleting notes, enabling better integration and control for external systems. An update option has also been added to allow for Contact Notes to be updated. Further information on these improvements can be found within the Defined Resources section of our API documentation.
Learner Portal Accessibility Enhancements
As part of our commitment to making learning accessible to as many people as possible, we are continuing to introduce additional updates to the Learner Portal to help make the experience more inclusive. The latest changes include:
- Improved keyboard controls within the Help Request area and profile settings, making it easier to navigate the portal without using a mouse.
- Updated the names and labels of various buttons, icons, and checkboxes (such as the main logo and navigation menu) behind the scenes so that screen-reading software can describe them more accurately to users with visual impairments.
- Additional visual indicators and updates to some elements to meet minimum contrast requirements.
We will continue to release further accessibility enhancements in upcoming updates, many of which will be unnoticeable to most users, but crucial for those who need them.

AXSO-1089 - An issue has been resolved where Competency Achievement dates set by Assessment completions were inheriting the due date rather than the submission finalised date.
GLO-171 – An issue has been resolved where the Sessions table displayed an unnecessary scrollbar; long values are now collapsed with a tooltip shown on hover.
GLO-174 – An issue has been resolved where entering special characters in the new navigation search caused unexpected behaviour.
