The aXcelerate AI Assistant lets you ask questions about your aXcelerate data in plain language. Instead of running a report or clicking through several pages, you can ask something like "Which workshops next month still have spaces?" and the Assistant finds the answer for you.
The aXcelerate AI allows you to:
- Spot trends and gaps: Ask questions that compare and combine your data, like which learners are behind schedule, which workshops are below minimum numbers, or which trainers are overbooked, without building a report.
- Get help with aXcelerate: Ask how a feature, setting or status works, and the Assistant searches our help articles for you.
- Read-only: The Assistant can view your data but can't add, change or delete anything.
We're rolling the AI Assistant out in stages from 1 October 2026. We're rolling this feature out to some accounts that already have AI features enabled, and we'll switch on more accounts over time. Your account may not be enabled straight away.
We're releasing it with core functionality first so that your feedback can shape what it does next, with new capabilities to be added regularly.
The AI Assistant requires AI features to be enabled on your account, and access must be requested by your account's key contact.
- If your account doesn't have AI features enabled, your key contact can request access by filling out this form.
- If your account already has AI features enabled, the AI Assistant will be automatically enabled for your account over the coming weeks.
Users will require the AI Assistant user permission to access the AI Assistant. This is to ensure access is restricted to those specific users.
Managing access for users and roles
Access to the AI Assistant is controlled by the AI Assistant: Read permission. Users with the Admin role type have this permission by default.

It can find and show you information, but it can't make any changes to your account. It won't enrol, cancel, edit, or create anything on your behalf.
To remove access for a user or role:
- Edit the relevant user or user role
- Uncheck the AI Assistant: Read permission
- Select Submit at the bottom of the page.
Note: The assistant works within your existing user permissions and can only view and retrieve information you already have access to. For example, if you don't have the Workshops: View permission, the assistant won't be able to return workshop details. During the closed beta, users should ideally have the Reports: Full Access user permission to get the most out of the assistant.
What the Assistant can do

Note: AI can make mistakes. Check important information before acting on it.
What the Assistant can help you find
The Assistant can surface data related to five areas of your account:
Contacts
Find a person by name, email, contact ID, date of birth, role, or the date they were added or updated.
Workshops
Look up workshop sessions, including their dates, location, trainer, cost, capacity and vacancies, status, and whether enrolment is open.
Classes
Look up qualification and diploma classes, including their dates, location, trainer, delivery location, and enrolment numbers.
Enrolments (bookings) in workshops
See who is booked into a workshop, filtered by session, by participant name, or by booking status (booked, cancelled, or completed).
Enrolments in classes
See who is enrolled in a class, filtered by class, by student name, or by enrolment status.
What you can ask
Below are examples of the kinds of questions the assistant can answer. You don't need to use the exact phrasing here; these examples act as a guide for what can be requested or queried.
Find someone:
- "Find the contact for Jane Nguyen."
- "What's the email and mobile for contact 48213?"
- "List contacts added since 1 June 2026."
See what training is scheduled:
- "What workshops are running in Brisbane in August?"
- "Show First Aid workshops with open enrolment in the next 8 weeks."
- "Which Certificate III classes start next quarter?"
Check capacity and vacancies:
- "Which workshops next month still have spaces?"
- "How many spots are left in the 15 July White Card workshop?"
- "Are there any upcoming workshops below minimum numbers?"
See who's attending:
- "Who's booked into the White Card workshop on 15 July?"
- "How many students are enrolled in the Certificate III in Individual Support class starting 3 March?"
See what a person is booked into:
- "What workshops is Jane Nguyen booked into?"
- "Has John Reed completed any classes this year?"
- "Did Jane Nguyen cancel the July White Card workshop, or is she still booked?"
Tip: You can also combine these in a single question. For example, "Which trainer is running the 15 July workshop, and how many are booked?" will find the workshop first, then look up who's attending.
Getting the best results
A few things will help the assistant give you accurate answers:
See what a person is booked into:
- Be specific with dates. A clear date or range ("in August", "between 1 July and 31 July") gives you a more reliable result than a vague one.
- Say whether you mean a workshop or a class. Terms like "session", "course", or "training" can point to more than one thing, so naming the type helps. If it isn't clear, the assistant will ask before answering.
- You'll only see what you're allowed to see. The assistant follows your existing aXcelerate permissions. If you don't have access to a particular area, it will tell you, rather than return an empty result.
Note: Currently in the closed beta, some results are drawn from data that refreshes overnight, so information may be up to 24 hours old. This is expected and won't reflect changes made in the last day.
What the assistant can’t do yet
During the closed beta, the assistant is focused on searching contacts, workshops, and classes. The following are out of scope for now:
- Making changes: It can't enrol, cancel, edit, or create records. It's read-only
- Outcomes and results: Competencies, unit results, attendance, certificates, and USI details aren't available through the assistant
- Finance: Invoices, payments, and account balances aren't available
- Other enrolment types: Student searches cover workshops and classes only. Enrolments in other training types, such as units or e-learning, aren't included yet

Advanced analytics: The assistant returns search results; it may not be able to provide fully accurate analytics beyond what a search provides. Always verify any results before taking action
