What is Work-based Learning?
aXcelerate's Work-based Learning feature is an end-to-end digital solution for managing your learners’ on-the-job training, work experience, traineeships or apprenticeships. The feature is one part of aXcelerate’s ecosystem and seamlessly links with the SMS and LMS. Who can use it?
The Work-based Learning feature is available for all clients for an additional fee. It is designed for RTOs who place students with Host Employers to complete on-the-job activities as part of their learning experience.
How much does it cost?
Work-Based Learning is an add-on to the Turbo subscription or priced as part of a tailored solution for enterprise or large training organisations. Get in touch for a personalised quote.
Can I use the system for traineeships, apprenticeships, or internships?
Yes, the default terminology in the system for work-based learning enrolments is 'Placement', but you can change this to one of the above terms from the Core tab of your system settings. The capabilities of our Work-based Learning feature should apply to any of these use-cases, but we are continually adding more functionality to support the broad range of workplace-based learning that exists.
Can I use the aXcelerate App?
Admin, Trainer, and Supervisor users can all log into the aXcelerate App. If you are set as the Work-based Learning trainer or supervisor of a learner, you will see their placement in the aXcelerate App when you log in. All of the core functionality available in the aXcelerate App is also available through the admin interface as well.
Who is meant to review logbook entries?
Ideally, Supervisors will review and approve logbook entries made by Learners as they will be working with the Learner and know what they participated in for a particular day. However, all of the actions available to a Supervisor are also available in the admin area accessible by admins and trainers.
How do I send training documents?
Template fields are available for all major aspects of Work-based Learning within the system. You can create templates that have information about placements and send them to Host Employers, Trainers, and Learners for signing using our Agreements functionality. This can be done either from the Placement Details page, class enrolment, or via workflow actions. For more information click here.
How should I manage Work-based Learning assessments?
It is recommended that you handle the assessment component of a Learner's enrolment through aXcelerate's Online Assessments. For example, you can use an Observation Checklist type assessment for examining a Learner's competency for a particular set of tasks. You can also export a Learner's logbook to attach to an assessment and use as evidence of competency. We have plans to improve the process of managing work-based learning assessments, but if you have any feedback on this topic please let us know by clicking here.
Can I import external Work-based Learning data?
There is no self-service import functionality available within the system for Work-based Learning data. If you need data imported, you will need to contact our Customer Success team and ask about our data migration services for more information.
Supervisor Work-Based Learning FAQs
How do I download the aXcelerate App?
Once you have been issued login details by the training provider, you will be able to go to the App store on your personal device and download the 'aXcelerate' App. In the App, you will be able to view information about Placements where you have been assigned as the supervisor, mark attendance, and review logbook entries for those placements.

Why can't I log in?
The training provider that the Learner is studying with will need to issue you login details before you will be able to log in and use the aXcelerate App. If you did not receive these details, please contact the training provider and request access. After you sign-up and verify your account, you will be directed to the main aXcelerate application where you will be prompted to download and login to the aXcelerate App.
What are my responsibilities as a Supervisor?
Aside from taking care of the Learner while they are working at your organisation, the primary responsibilities of a Supervisor are to review logbook entries and mark the attendance of the Learner. These actions - along with any important information about the Learner and their placement - are available in the aXcelerate App and a limited version of the main aXcelerate interface. It is also recommended that you speak with the training provider to determine what is expected of you as a Supervisor during the Learner's Placement.

How do I download the Learner App?
The aXcelerate Learner App is available to download on the iOS and Android App Stores. You can find it by searching for 'aXcelerate Learner'. Once you have signed in, you will be able to view information about your placement including your schedule and host employer, and begin submitting logbook entries.

Why can't I log in?
Your training provider will need to issue you login details before you will be able to log in and use the Learner App. If you did not receive these details, please contact the training provider and request access. After you sign-up and verify your account, you will be directed to your Learner Portal which has all of your course details. After this, you will be able to download the Learner App and view your placement details.
Will the Learner App replace the Learner Portal?
No, both the Learner App and Portal will continue to be supported. The Learner App allows Learners to see all aspects of their enrolment including work-based learning while on the move whilst the Learner Portal provides a great desktop experience for Learners to utilise.
When do I use the app and when do I use the Learner Portal?
The Learner App contains similar course information as the Learner Portal, but with the added WBL functionality. You can use both the app and the portal to access general information about your course. If you want to record logbook entries for work experience or see your schedule and details related to your placement you will need to use the Learner App.
I submitted a logbook entry, when will my progress get updated?
After your logbook entry has been submitted, it will need to be reviewed and approved by your Supervisor or training provider before the logged time will count towards your progress.
Planned Work-based Learning Improvements
Here are a few high-level improvements we're planning to make to the aXcelerate Work-based Learning feature in the near future.

- Supporting Activity-specific evidence in logbook entries. Currently, evidence and time are recorded against a logbook entry which may have many Activities selected. Some types of Work-based Learning require time and evidence specific to particular Activities a learner participates in. This will also greatly complement the Activity mapping framework and help provide better data for reporting & analytics.
- General Improvements to the Apps including support for Learning Plans and enhancements to the Login Experience to make getting started easier.
- Improved analytics to help identify trends with Work-based Learning data and provide additional oversight of training operations and insight into the Learner experience.
- Better connectivity between the Work-based Learning feature and Online Assessments to help facilitate the assessment of Learners as part of their Work-based Learning experience.
- Tools to create, update and manage Work-based Learning enrolments more efficiently to streamline the process for administrators.
