Assessment Versioning Update
Hi aXcelerate Team,
I’d like to raise some challenges we’ve been facing with the recent changes to the assessment versioning functionality.
With the current setup, even minor corrections to an assessment (such as fixing typos or answer formatting) require creating a new version. While I understand the importance of maintaining version integrity and ensuring compliance, this process has become quite complicated for both our staff and students.
- Each time we create a new version, we must manually update every affected student’s enrollment. This is extremely time-consuming and increases the risk of human error.
- Obsolete Versions Remain Visible. We are unable to hide or delete previous versions from the class, as some students may have completed them. Unfortunately, this leads to confusion, as new enrollees sometimes end up being assigned to outdated versions instead of the current one and we need to do a manual transfer each time. An option to hide, deactivate, or archive old versions of assessments within a class would be great.
- It would be ideal if students who haven't yet attempted the assessment could be automatically transferred to the latest version when one is released. Automatic update of students (with no attempts) to the newest version upon its release.
- Currently, when we want to move a student to the new version, we must delete their enrolment in the old one, which causes a loss of record of their previous status or attempt and we are only keeping a PDF copy of their previous attempt. We would prefer a way to retain historical data while still being able to assign the latest version. Ability to retain enrolment history when moving students to the current version, without needing to delete the original version enrolment.
This has become a significant usability issue for our trainers and a source of confusion for students. We hope this feedback can be taken into consideration for future updates to improve the flexibility and user-friendliness of the assessment versioning system.

Another frustration I recently discovered - if you have published a new version of an assessment, you can no longer use the 'edit content' function on the previous version, the option is greyed out. Unfortunately did not realise this until it was too late, and the new version had already gone live for some learners. This restricts our ability to address small errors, which do happen, and I would prefer to have the option to edit content on any version.
Other LMS I've used give you an option to publish to all learners/all learners who haven't started/all learners who have started, but get them to re-start/all learners in a class where no one has started, so the decisions on who gets what are able to be made at a more granular level. Would be wonderful to see a bit more flexibility in axc.
