System Generated Note: Premature email to recipient during online enrolment process
AnsweredGood afternoon people,
I'm relatively new to the platform but quickly learning.
I have recently re-established the online enrolment process for our RTO. I have discovered that when a new candidate goes from the "Review" second last tab and proceeds to the final billing tab with the declaration, the system send them an email inviting them to setup a user account in aXcelerate. I have only setup the candidate to be able to enrol in a "Tentative" class group.
Both customer support and I can't locate where this auto email has been setup from how to remove or amend it.
Would any kind folks here have an idea?
Thank you in advance.

Hi Tristan,
Within the Additional Options tab of your System Settings, there is a setting called Auto Generate Learner Users, which controls when automated user invitation emails are sent out.
I see your RTO is not currently using these settings, meaning no user invite emails are being sent to new students upon creation of a tentative enrolment. Did you turn this off recently?
If your courses have LMS content, you might want to add the user invitation dynamic field [User Login Access Link] to your Booking Confirmation template so new enrolments receive enrolment information along with a user invite.

Hi Tristan, I contacted aX about this 4 years ago. Even though this behaviour does not happen on a manual tentative enrolment, for some reason the API call doesn't take tentative into consideration and still sends the new user email. It's obviously been a bit of a frustration with me for awhile now lol but aX weren't in agreeance to change it at the time. Perhaps if people can respond to this post and also agree that a tentative enrolment should have no setup email sent (like the manual enrolment), aX may rethink changing it (or put an option in to turn it off for the API).
