Improvements 

AX-8495 - The domain filter on the calendar now lists domains in alphabetical order. 

AX-8552 - The field client identifier (for apprenticeships/traineeships) has been added to the Certificate Builder.

AX-8844 - We have made updates to support the changes to the SVTS report for Victoria for 2020. This includes the addition of a new continuing outcome code, 79 - Waiting employer signoff (WES) and the reporting of the Workplace ABN for students undertaking workplace-based training. The ABN that will be reported will be the one assigned to the student's Host Organisation against their enrolment.

AX-8907 - The training contract identifier and client resource fees are now available at the unit enrolment level, for cases where these values differ across units (note: this is primarily for clients reporting to SVTS).

AX-8912 - Although this has always been a hidden feature of the workflow engine, clients now have better visibility when sending out e-learning templates via the "Send Contact Template" and "Send Contact SMS" workflow actions. To use this, clients must use an e-learning report with both a contactID and an activity ID as display columns.

AX-8984 - The /course/enrolments/ endpoint can now be searched using type ‘el’ with lastUpdated_min and lastUpdated_max; the maximum allowed date range is 30 days, and the maximum number of records is 500 per API call (this can be paged by passing in offset) 

AX-9066 - Better visibility for dynamic parameters contactID, contactName, and eventType when creating any contact triggered workflow automated task. 

 AX-9081 - We have updated the labels for client fields for all workshop reports. They will now read "Client/Owner" to clarify that these columns are for workshop clients when the workshop is in-house, and the workshop owner otherwise.

 

Bug Fixes

AX-9084 - An issue has been resolved with Online Assessments being marked as completed in the learner portal despite the status reflecting that they are in progress; this was occurring when the attempt was marked as Satisfactory and subsequently changed to Unsatisfactory.

AX-9085 - An issue has been resolved with the Evidence of Trainer Competency warehoused report. This fix will mean that any saved reports you have will need to be regenerated as the fixes are not backward compatible. Saved reports using the live version will not be affected.

AX-8972 - The Workshop Name field for Workshop Types has been expanded to 255 chars.

AX-8979 - Un-linked Moodle enrolments can now be imported in bulk at the top level only; note that users with non-unique email addresses cannot be processed. Moodle courses linked to class enrolments will also need to be managed separately.

AX-8999 - Some adjustments have been made to the UI of the Class Update page Unit of Competency Details section. These changes mainly affect the appearance of Module Headers, Legacy Assessments, and Elective Units.

AX-7385 - An issue has been resolved which was causing some students to not be visible in the Workshop Print Attendance preview.

AX-8860 - An issue has been resolved with the count and the maximum number of participants available for grouped workshops set to simultaneous delivery in the calendar tooltip.

AX-8991 - An issue has been resolved with displaying Modules in the New Learner Portal.

AX-9005 - An issue has been resolved with automated tasks where a contact event was only being triggered if a condition was added.

AX-8580 - New reports for aXcelerate online assessments are now available. These reports combine assessment data with accredited class enrolments and they are only available as warehoused reports.

AX-8873 - For RAPT reports, we have removed the validation for the "Delivery Strategy" field, which was removed in version 3.

AX-8877 - We have updated the system to support the lastest RAPT 3.4 changes. These updates include:

• Support for gender classification X
• The addition of a new fee type: "C - Child in State Government care"
• The ability to now explicitly set delivery mode "Z - Not Applicable", which is valid for NoSt outcome 105 when delivery is expected to be RPL.
• Additional validation checks around fee types, fees and outcomes.

Improvements

AX-6822 - The Unit of Competency Outcome Dropdown menu on the Student Unit Summary page now reflects the colour of the selected Outcome in Firefox.

AX-8463 - Students can now see and download the file(s) they uploaded against Marking Criteria and RPL in the Learner Portal. 

AX-8666 - We have added a new event trigger type for automated tasks. Clients can now set workflows to run when accredited class enrolment statuses are changed. For example, when an enrolment changes from "In Progress" to "Completed". This event can also run when an enrolment is deleted.

AX-8669 - Improvements to the trainer competencies area:

• A minor typo has been fixed on the "Review Evidence for Trainer Competencies" widget if the user does not have the required permission
• Trainer users with the Trainer Management - Full Access permission will now be able to manage trainer competencies.

AX-8776 - To improve the user experience when downloading or streaming videos, the system will now redirect the user directly to our file store in Amazon S3.

AX-8798 - The warehoused Activity Hours report now includes the students' Employer ID. This can be used with the Workflow feature to notify employers about student attendance.

AX-8806 - Contact custom fields are now available in the invoice and credit note warehoused reports for the contact that the invoice/credit note is directed to.

AX-8856 - Last Updated Date has been added as a filter to Warehoused Contact reports.

AX-8871 - Contacts linked to an Ezypay customer record are no longer able to deleted.

AX-8890 - Deleting uploaded files on the contact portfolio page now requires the contact portfolio delete permission. Previously, this was controlled by the contact portfolio update permission.

AX-8898 - Class, class enrolments and workshop reports now offer the "Last Updated UTC" date as view fields and filters in the report builder.

Bug Fixes

AX-7980 - An issue has been resolved in the report builder when using filters to exclude training categories.

AX-8781 - An issue has been resolved with client terminology on the finance details section for student enrolments.

AX-8804 - An issue has been resolved where users without a valid email address against their contact record were unable to view organisation details.

AX-8876 - An issue has been resolved with multiple Workshop Types related to the same unit of a Qualification containing other Assessment Tasks.

AX-8879 - Additional validation has been added to EzyPay subscriptions to ensure that a payment method is present before activating a subscription.

AX-8896 - An issue has been resolved where a large number of enrolments being returned via the API would provide an unrelated error message when searching with lastUpdated_min and lastUpdated_max. 

AX-8955 - An issue has been resolved with the Assessment Due Date being incorrect on the Record Assessment Submission page.

AX-8969 - An issue has been resolved in the report builder to be able to save over an existing report after running the report and changing some of the settings. You must be the report owner to save over an existing report.

AX-8982 - An issue has been resolved with auto-marking duplicated multiple-choice questions for Online Assessments.

AX-8986 - An issue has been resolved with updating non-USI contact details in the existing learner portal where a verified USI was recorded against the student.

Improvements

AX-8320 - We have added new template fields to better support VSL clients. These are: [Unit of Study Student Paid] and [Unit of Study Student Balance], which will provide a value of any payments made against student contribution amounts for units of study and any balance remaining. Note that some partial payments may not appear. Full rules can be found in the help guide. 

AX-8483 - From this release clients will notice some new fields to support the upcoming TCSI changes for reporting VET Student Loans to the government.

On student enrolment, qualification and delivery location edit pages, there is a new field under the existing VET Student Loan status for HEPCAT, which is a status for TCSI. Currently, this is not available in production but is a placeholder for the TCSI integration. It will have information on the record's current errors and warning from TCSI and a button to manually update TCSI with the data.

AX-8500 - Additional validation has been added to the EzyPay subscriptions page.

AX-8590 - We have contacted our hosting provider (AWS) to add a reverse DNS lookup for postoffice.axcelerate.com.au. This should help clients using our post office relay server.

AX-8593 - Additional validation has been added to the /v1/contact endpoint (for creating or updating contact records)

AX-8658 - The Assessment Plan page has been updated with the ability to expand/collapse tables. The displayed units are now split into mapped/unmapped tables. Tallies have also been added to each table.

AX-8701 - Some adjustments have been made to the styling of the Debitsuccess Interface.

AX-8708 - Student Activities now has its own permission group. Previously, a user required Class permissions to manage Student Activities.

AX-8710 - eLearning access date offsets have been added to Workshop Types. These dates are used for controlling access to related eLearning before and after the course.

AX-8730 - We have added the ability for VSL-provider clients integrating with the eCAF API to view student debt information. On the unit of study edit page, simply click the button to "Retrieve Debt Information". Note that this will only work where a student has both a date of birth and CHESSN already recorded.

Bug Fixes

AX-8189 - An issue has been resolved with the in-house booking form where blank USIs would prevent students from being booked.

AX-8810 - An issue has been resolved where longer assessment names would cause the left side of the enrolment page to become wider than intended.

AX-8865 - An issue has been resolved where workflow monthly scheduled tasks were not correctly saving the day of the week on which to run.

We have also improved the scheduling logic for monthly and weekly tasks so that they will not be run initially on the start date but instead run on the next logical run date according to the schedule on or after the start date.

AX-8867 - An issue has been resolved in the /course/enrolment update (PUT) endpoint where the specified programInstanceID was not being used (in the case of separate class enrolments) to identify the enrolment to be updated.

AX-8880 - An issue has been resolved with the EzyPay integration where the specified note type was not being set for contact notes added by the integration.

New Features

AX-8643 - VET Student Loan clients can now get and set VSL term addresses from the contact API.

AX-8639 - VSL Clients can now manage their eCAF submissions via aXcelerate! Information on this feature can be found in the Heartbeat Article here.

Improvements 

AX-8134 - We fixed an issue where AVETMISS errors were being caused by users setting the prior education status to true without passing the prior education status codes via the API. Users will no longer be able to set a true status for prior education without passing the list of codes.

AX-8350 - When updating a unit enrolment, the option Automatically sync enrolment completion date will no longer be checked by default. To update enrolment dates, this needs to be specifically selected by the user.

AX-8496 - When connecting a contact with Ezypay to share their personal information, a contact note will automatically be added to the contact record. Optionally, the user who performed the action will also be able to add notes and upload a file to attach as further evidence of the contact's permission to share their information with Ezypay.

AX-8567 - We have updated the contact merge tool to allow administrators to merge contacts regardless of whether they have been provisioned in our online assessment engine or not. Users will still not be able to merge contacts enrolled in the same assessment instance.

AX-8592 - Canvas Integration Improvements:

1. aXcelerate no longer tries to process previously imported Assignment Group Learning Activities when the Canvas Integration Type is set to Modules.

2. Added Bulk Import for Modules

3. Added the ability to see "leftover" Assignment Group Learning Activities (on the Module list)

4. Added the ability to deactivate/activate imported Canvas Learning Activities (Assignment Groups and Modules)

AX-8606 - For clients with enrolments in Victorian classes, we have resolved an issue with the logic around the automatic reporting of the VIC Program Status ID in the NAT00130 file. Previously, completed and award-issued enrolments were only reporting code 10 (Program completed - issued) if the award issued was a full qualification certificate. Now, this code will also be used if a statement of attainment is issued, but only if the class is set as a statement of attainment only class.

AX-8629 - Ezypay customer IDs are now part of the contact merge. Users will not be able to merge contacts if they both have active Ezypay subscriptions.

AX-8641 - More "Learner Numbers" information is now shown on the Account Statistics page for multi-account holders and accounts that have SCORM E-Learning switched on.

AX-8650 - There is now a read-only view for Contact Portfolio Items. When a user is able to view but not update Contact Portfolio Items, they will be able to see the details of the item and any attached files without making changes to the item.

AX-8746 - Ezypay clients can now drill into a subscriptions payment history and retry a transaction that had failed to go through.

AX-8794 - Corrected an issue that would sometimes result in new assessment tasks being created twice.

AX-6314 - Last Updated Date and Last Updated By has been added to Contact Notes

AX-8703 - The Bulk Duplicate Workshop feature will now copy any Equipment and/or Room that was set against a Complex Date

AX-8828 - An issue was resolved where an enrolment could not be deleted if a discount was applied.

Improvements 

AX-8449 - Canvas Enrolments can now be marked as ‘Invalid’ by aXcelerate or an aXcelerate User. This is to stop Canvas Students who were deleted/merged or removed from a Canvas course, being processed when the system checks for (Assignment Group or Module) completions.

AX-8467 - We have added a legend to the Assessments View in the class matrix.

AX-8510 - A new option is available in the Certificate Template Builder called Hide Unit Codes on the units table, which will prevent these from being displayed on generated certificates.

AX-8523 - The eWay rapid integration now sets the "Your Reference Field" within the eWay web portal to the transaction's related invoice number.

AX-8544 - We have made improvements to our NCVER validation integration, including adding a button to download the detailed error report, similar to the functionality provided in the NCVER portal. We have also added identifier columns in the error report and improved the matching code when attempting to link from an NCVER error to the relevant aXcelerate record.

AX-8570 - An image can now be set for Qualifications that will appear in the NEW learner portal 

AX-8627 - The quick search feature on the payment and refund pages can now filter based on “unapplied” transactions.

AX-8628 - The Finance Master permission is now required to view/use the View/Export Finance Data page.

AX-8638 - We have updated the course/enrolments API to return more than 25 rows if searching by last updated dates.

AX-8632 - The ability to bulk select all not competent and all interim subject enrolments has been added to the bulk set contracts page.

AX-8633 - A visual indicator will now appear in the contracts area of the enrolment page to show which subject enrolments have been reconciled.

AX-6646 - The checkboxes (next to the Asset) on the Book Assets screen have been removed

AX-8656 - In the trainer competencies matrix management area, inactive qualifications will now be excluded from the unit evidence view. Any active units not in another area will appear in the "orphaned" sections of this view.

AX-8291 - The Contact Notes by User report has been updated/fixed to give the ability to report on notes created by the 'SYSTEM' User. To find notes created by the 'SYSTEM' User, select the 'Has no value' on the User filter.

AX-8547 - An issue has been resolved where an apostrophe in a contact's name was preventing them from being successfully created as a user in Moodle unless "Allow extended characters in usernames" was enabled in Moodle.

AX-8554 - An issue has been resolved with certain email configurations; ensured TLS connections with SMTP email servers would use protocol TLSv1.2 first for secure connections.

AX-8572 - An issue has been resolved where using the bulk workshop duplication feature to create a single workshop was not resetting the date descriptor.

AX-8583 - Improved the VSN web service interface when downloading allocated numbers to output any errors returned from the service.

AX-8599 - An issue has been resolved in the default system template area for clients with specific terminology settings.

AX-8600 - An issue has been resolved where the E-Learning Commencement Updates Subject feature was setting enrolments with proposed end dates in the current year to the now discontinued "NYA" status. This feature now sets all commencements as "CA" (with the exception of WA classes which uses "P").

AX-8611 - An issue has been resolved with merging organisations that have notes recorded against them.

AX-8709 - An issue has been resolved which prevented the merging of contacts on the morning of Sept 30.

AX-8723 - An issue has been resolved with the default due and access end dates for standalone assessments appearing reversed in the Assessment Management UI

AX-7828 - For clients using the eWay Rapid or SqID payment gateways, we have added a new public-facing landing page to allow administrators to pass a URL to their customers who can then enter their credit card details to pay an invoice. AX-7958 - It is now possible to specify a note type for quality goal notes. An issue has also been resolved that prevented sending an email when updating a quality goal note.

AX-8198 - Some old icons displaying in the new UI have been fixed/cleaned-up

AX-8425 - Sometimes, clients running training in Victoria, need to generate a new Victorian Identifier against a unit enrolment. Previously, this had been locked down as changing this value can have serious implications for VIC reporting. However, we have now added a new button at the unit enrolment level that will allow users with the "Compliance Reporting" permission to reset this value.

 

Bug Fixes

AX-8290 - An issue has been resolved with Class Attendance Marking PDF. The Start and Finish time will now only show against a Session for a Student, when the Attended Start or Finish time differs from the Session Start or Finish times.

AX-8323 - An issue has been resolved with uploading files that required a name change (to enforce uniqueness on the server) has been fixed.

AX-8399 - An issue has been resolved where timetabled units were not correctly using the workshop default name.

AX-8509 - The Account Statistics page in System Settings now displays a history of learner numbers in a chart. The ability to backdate the learner numbers is no longer required but you can search the chart historically back to mid-2017.
The page now loads much faster by skipping File Usage data and the breakdown of the current billing cycle learners. You can click a link to see these items if you wish to load the additional data.

AX-8536 - When cancelling an accredited workshop booking, the checkbox “Withdraw from related Units of Competency” will now be checked by default, to help prevent students being counted as Active Learners when they were cancelled.

AX-8035 - An issue has been resolved where templates in the Print/PDF view was slightly inconsistent in the Firefox browser.

AX-4724 - The XERO import finance code page now displays previously imported finance codes.

AX-8284 - We have added a new workflow action, Post to URL. This action will act as a webhook and post to the specified URL. You can add parameters to include in the form post, which can be dynamic values pulled from the event.

AX-8289 - The reporting API endpoints now include in the return structure a key, ROWLIMIT, to let the user know what the limit is for their report.

AX-8346 - Some clients have linked Moodle courses with well over 1000 enrolments. In order to support searching for unlinked users in these huge courses, the Moodle view students tab will now search only in blocks of 1000. Users will be able to specify which block to search in order to find the student they wish to import.

AX-8353 - We have added a new option when transferring class enrolments. If the transfer involves linked workshops, then the user will have the option to sync the unit start and end dates with the dates of the transferred workshop enrolment. Formally, this was always done which was causing some issues for clients who were transferring units with a reportable outcome, such as CA.

AX-8371 - Improved error handling when attempting to edit a certificate with an invalid ID.

AX-8375 - User provisioning in Canvas has been improved to include an additional check when enrolling students to account for cases where the student's email address has changed in Canvas.

AX-8395 - A link has been added to the Help Menu for quick access to aXcelerate's Short Hits of Training (SHOTs) videos.

AX-8396 - When using the bulk workshop creation tool, the duration will initially load with the default value set at the workshop type level if that value is in a non-standard unit other than "days".

 

Notes

AX-8356 - We cleaned up some old code for performance efficiency. For some clients, it may result in a slight difference in what email address is selected by default in the CC list or the default salutation when sending merge documents or templates.

 

Bug Fixes

AX-8302 - An issue has been resolved where clients who have reached their user limit were unable to reactivate student users.

AX-8341 - An issue has been resolved where manual invoices for enrolment were creating a new empty line item when the tuition fees have been fully paid.

AX-8357 - An issue has been resolved where clients were unable to apply a transaction amount that was less than the contract value when doing contract reconciliation.

AX-8404 - An issue has been resolved where the date descriptor field was being reset to the default when creating a single workshop using our bulk workshop creation tool.

AX-8108 - We made a performance improvement for the template email API. There was no change in functionality.

AX-8118 - Further incremental styling and user interface updates have been made to the trainer competencies/evidence area.

AX-8129 - We have made an important improvement to the system to prevent users from accidentally locking themselves out. Users can no longer remove the "User Management" permission from their own user record or alter a user role in a way that would remove that permission from themselves.

AX-8145 - Workflow users will now have the ability to pause automated tasks. Tasks can be paused indefinitely, or they can be paused until a certain date and time.

AX-8151 - We have updated the reporting queue so that reports that have run successfully but returned no results will no longer be in an error state. Instead, they will have their own special state of "No Results" 

AX-8225 - A new option has been added to the AVETMISS Reporting Details section in the RTO / VET Details tab of System Settings. The option is labeled Include National Classes by default and controls whether NAT classes are added to your State reports by default (if the reporting state matches what is set up in the AVETMISS Reporting Details section).

AX-8239 - Fixed an issue where some users might have been able to view individual responses for anonymous survey respondees. Additionally, anonymous survey respondees names will no longer appear at all in the view responses dropdown list.

 

Bug Fixes

AX-8221 - Resolved an issue where under certain circumstances, a student user could be assigned a domain. Student users should not belong to any domain.

AX-8316 - Study reason has been improved in the report builder for new codes and WA RAPT values

AX-8300 - The Agent Commission field is now available in templates if you are sending a template to the agent. This will be useful for agent agreements to be generated from aXcelerate.

AX-7859 - We have implemented some efficiencies with the course/enrolments API endpoint to return this dataset faster. There should be no change in the data returned.

AX-7951 - We have released a new warning on the print certificate page for clients using our Trainer Competencies feature. For students whose unit enrolments are not linked to a trainer with a train or assess competency, the system will report a warning for that student and give the number of units. This is a warning only and will not prevent certificates from being printed. 

AX-7986 - Automated task conditions for qualifications and workshop types have been switched to an autocomplete search and will not include inactive courses.

AX-8022 - We have made a significant improvement on how batch emails are handled. The system will no longer abort the email batch on the first error it comes across but skip that contact and continue to email the rest. If the system encounters 20 errors in a single batch, that batch will be aborted. This change will affect templates, merge documents and class and workshop mailouts, and survey mailouts.

AX-8029 - You can now choose to provision Canvas users with the Alternate Email Address (found in the AVETMISS/VET fields area).

AX-8042 - Qualification Title has been added to the Portfolio report as a filter.

AX-8046 - The API will now throw an error if you try to add Student Users to a Domain.

AX-8047 - We have updated the verify certificate API (/api/contact/enrolment/verifyCertificate/) to prevent verifying deleted certificates.

AX-8066 - We have updated the logic for the Employer Invoiced RAPT reporting field. It will now only report a "Y" value if an invoice has actually been generated in the system. This field can still be overridden at the unit enrolment level.

AX-8080 - A number of UI enhancements have been made to the Goals/Quality register. 

AX-8095 - Assessment Mapping bubbles have been updated to show "9+" (in assessment plans) when there are more than 9 units related to them. You can hover over to see the full count.

AX-8119 - A link to the feedback form has been added in the Learner Portal’s top-level menu.

AX-8139 - The class duplicate tool will now duplicate custom fields.

 AX-8142  - For our VSL clients, we have updated the VET Course Completions report logic (VCC) to only include enrolments whose status is "Completed". Previously, an eligible student with an actual course end date was being included in the report.

We have added a checkbox on the update unit enrolment page to choose whether to sync the enrolment end date upon submit. If checked, and the enrolment contains all final unit outcomes, the system will set the actual completion date to be the latest activity end date. If any unit outcomes are non-final, then the system will set the expected completion date. This feature always existed in the background, the checkbox just makes it more explicit and visible to users.

AX-7825 - An issue has been resolved with the Workshop Update page when using the Trainer Competency feature.

AX-7952 - An issue has been resolved where the class listed for the Update trainer for linked enrolments was not always the class directly linked to the workshop.

AX-7993 - An issue has been resolved with searching for contacts by their date of birth via the contacts/search API endpoint.

AX-7618 - Organisations now support notes in the same way as contacts. Organisation notes support several attachments and are controlled by the Notes Management permissions.

AX-7819 - It is now possible to deactivate organisations. Inactive organisations will be hidden from reports and searches by default.

AX-8069 - For VET Student Loan providers, we have now released a beta implementation with eCAF. Currently, it will allow providers to:

• Manually create a new enrolment/eCAF per student enrolment
• View eCAF and Tax File Number verification statuses
• Process eCAFs that have been submitted by the student and the TFN has been verified. The system will then save the TFN against their contact record.
• Manually create and view progressions

AX-7831 - The Evidence Matrix tab under the trainer competencies area has been split into separate tabs for TAE and unit evidence to better support larger volumes of data. The interface for viewing TAE evidence has also been improved.

AX-7919 - Linked accounts that are on a per-user basis will now have to ensure the number of users across all their accounts is not greater than their user license. If it is above, you will not be able to add any additional non-student users.

AX-7846 - We have added a date option for clients using the Unit Offset Upon First Attendance feature. This feature optionally adjusts unit start and end dates when marking attendance. The end date can either be offset based on the new start date or the end of the workshop. This offset can be configured in your system settings under the RTO/VET tab.

AX-7884 - aXcelerate will now retrieve and display all Canvas Course Sections during enrolment.

AD-573 - We have implemented a status page that will be used to manage/communicate system incidents and outages. You can view the page here: https://axcelerate.statuspage.io/.

Improvements 

AX-7387 - We have updated our ASQA Learner Engagement / Employer Satisfaction survey results page. ASQA no longer requires a complex text file export for this data. Instead, they have a summary document called the Quality Indicator annual summary report, that is required to be filled out by providers.

This document is available from the ASQA website and asks a series of questions regarding feedback rates and improvement actions. You can use our new LE/ES results page to view survey results and response rates for a specific date range. Users will still be able to filter on qualification or class, and we have also introduced a new filter on domains.

Further, in order to better provide response rate data, aXcelerate will now record when a survey link has been issued (emailed) to a contact for each calendar year.

For clients that still wish to use the older export system, please contact our support team and ask them to switch off this new results page and instead enable Legacy LE/ES Reporting.

AX-7554 - The Australian government has stipulated that education courses are to be GST-free, however, there are some cases where clients are delivering specific, non-accredited courses through our class framework that need to include GST. To support this, we have added a new class field, "includes GST", that when selected, will apply GST for tuition line items for all enrolments in that class, including those generated via the API. GST can always be added or not at the time of invoicing for all clients if generating a manual invoice.

We have also removed a field at the class level that was never implemented: "Auto-generate invoice on public/portal enrolment". This also used to be returned in the API as autoGenerateInvoice.

AX-7592 - A new option has been added on the Additional Options tab (in System Settings) to control whether Students can contact Trainers via the Learner Portal

AX-7609 - The certificate number (for statements of attainment) has been added to the class enrolments report. Previously only the full certificate number was available.

AX-7620 - The file size limit on resource has been increased from 10MB to 50MB.

AX-7631 - The workshop type code has been added to the drop-down on the Search Workshops page to maintain consistency with the Add Workshop page.

AX-7636 - You can now choose to provision Moodle users with the Alternate Email Address (found in the AVETMISS/VET fields area)

AX-7655 - We have now added a new option for workflow clients to send automated templates to the employers of students enrolled in accredited classes. The employer is determined by either being set directly against the student's contact record or by being set as the employer contact against a student's organisation. 

AX-7683 - We have improved the course/enrolments and contact/enrolments API endpoints to return the actual AVETMISS outcome code (e.g. 90, 20) as part of the return struct. The letter status code (e.g. "NYA", "C") will still continue to be part of the return. 

AX-7823 - Phone number filters have been changed in the report builder. Generally, a phone number would be a display field and not a filter. What may be more useful is finding out if the information exists or not so most phone number filters now only support "Has a value" and "Has no value" options. Warehoused reports will have a new "Any phone number contains" filter which will check home, work and mobile phone numbers. You should not put any spaces or characters such as +() into this filter, only digits. 

AX-7833 - We have increased the session timeout for all aXcelerate users from 1 hour to 3 hours.

AX-7836 - We have added the venue "Room" value as a separate display field in the calendar for workshop events. This means the room will no longer appear in the location field in the calendar. 

AX-7873 - We have cleaned up the edit training categories page to remove references to the now deprecated old calendar.

AX-7880 - The size of some fields have been adjusted in the Add Contact Form.

AX-7666 - We have improved validation when uploading evidence from the trainer's evidence matrix.

AX-7756 - A change has been made to Student Document Restrictions. If a Resource in the Resource Library was previously restricted to the Student, all new versions of that document were restricted as well. You can now use the Force Latest Version to control the restrictions on the latest version.

AX-7764 - On the Assessment Management page, the Marking Icon will no longer be visible/accessible (against the Instance) when there are no enrolments

AX-7693 - Please note that some system settings have been removed. The most notable being the Addresses defaulting to AVETMISS format. This is now the only way contact addresses can be entered for new contacts.

AX-7760 - The AVETMISS Report has been updated for the SVTS requirement to report "none" for the Client Given Name field for students who only have one name.

AX-7814 - An issue has been resolved where students were sometimes unable to upload additional attempt files against standard assessments, even if an administrator had granted them more attempts against their unit enrolment.

AX-7816 - An issue with enrolments permissions has been resolved. Previously, to enrol a student into a workshop and linked e-learning, the e-learning enrolment process would check the user's class instance add permission. It now correctly checks the e-learning enrolment permission.

Further, enrolling a student into linked workshops for a class enrolment now checks the user's enrolment rather than the class instance add and update permissions.

AX-7821 - An issue has been resolved where users with both student and admin access would be able to add a contact note if logged in under their student user in a different browser tab.

AX-7872 - An issue has been resolved in the Learner Portal where multiple Finish Assessment dialogs would appear

AX-7913 - An issue has been resolved in the Learner Portal where Standard Assessments were still showing in the Next Assessment Due area, when Standard Assessments were turned off.

AX-7918 - An issue has been resolved with class matrix extra column view selector that was not allowing users to search across the fields.

Improvements

AX-7212 - We have fixed a situation where clients were deactivating contacts linked to active users. This effectively disabled user access but the user would still appear in lists and other places. To avoid this inconsistency, we have updated the system to prevent administrators from setting a contact to inactive if they are linked to an active non-student user. If the contact is linked to a student user, then setting the contact to inactive will also set the linked user to inactive. This validation is also present in the contact and user update APIs.

AX-7354 - Several improvements have been made to the in-house booking form. Mobile number has been added as a field, and the columns that appear can be customised on the page.

AX-7448 - A link to the Custom Fields page has been added to the Settings menu. The old link will also still remain in the Additional Options tab of the System Settings.

AX-7568 - Merging contacts where the duplicates may be on the same workshop now has better error handling.

AX-7579 - When adding additional units to an existing enrolment, the units will now inherit the scheduled dates if the class has been timetabled.

AX-7584 - We have added the ability to bulk delete student activities for an accredited enrolment. We have also improved this and the bulk create student activities form by enabling users to select a range of checkboxes by selecting one and then holding down shift and selecting another.

AX-7625 - A unique identifier can now be specified in the Additional Options section of System Settings. Once set, this value will be appended to all usernames automatically generated by aXcelerate.

AX-7632 - A better error message will be shown when moving a User Task to a date before its Due Date (in the Calendar).

AX-4965 - An issue has been resolved with duplicate validation messages when adding a Licence or Registration in the Learner Portal.

AX-6272 - An issue has been resolved in the calendar where the time was appearing wrongly in some views if the start or end times went beyond the first or last hour settings in the calendar. 

AX-7619 - An issue has been resolved with Default User Role Widgets not appearing.

AX-7628 - An issue has been resolved where room clash detection was not checking when the venue tab for a workshop is first loaded after selecting a room.

AX-7630 - We have made some improvements to how the minimum and maximum values for student contributions in finance models are handled.

An issue has been resolved associated with invoicing extra items per hour for a non-WA class enrolment. The system was incorrectly applying the minimum amount if set.

If manually invoicing a student where their per hour or unit calculated tuition would be over the maximum, the invoicing page will now load to invoice the full remaining tuition by default rather than invoicing per unit. Minimum and maximum tuition values will be ignored if invoicing per unit.

The student status enrolment finance page will now correctly show the truncated total for extra items added via a finance model where the calculated total cost goes over the maximum.

AX-7642 - An issue has been resolved when deleting Online Assessments linked to a class.

AX-7644 - An issue has been resolved with editing multi-step automated tasks with steps of the same action; the UI edit step modal window would sometimes load with the text from the last edited step.

AX-7658 - An issue has been resolved with updating Gap Text/Fill In Blanks text in-line (without using the dialog) and the Solution not updating. 

AX-7679 - An issue has been resolved with an Interactive Guide causing the Bulk Enrol Contacts page to become unresponsive.

AX-5937 - The old contact password field has now been deprecated.

AX-6942 - A Bulk Set Outcomes option has been added to the class enrolment page, which will allow administrators to override the default/initial unit outcome that's set according to the dates.

AX-7612 - The Canvas Enrolment view now shows a Canvas Assignment Status label next to the icon.

AX-7617 - Assessment reports now have additional information for the Allocated assessor. This will help with workflows where standard assessments have been submitted and are waiting to be marked.

AX-5561 - Additional validation has been added to the /payment/ API endpoint to prevent invalid expiry dates from being processed.

AX-7668 - We have fixed an inconsistency with the employer invoiced field for RAPT reports. If unspecified at the unit enrolment level, the report was outputting Y for any unit enrolment as long as an employer invoice existed for that enrolment. The report now looks at the unit level and reports Y or N based on invoices for employers for that particular unit enrolment. If an employer is invoiced for an enrolment generically, all unit enrolments will report Y. 

 

Bug Fixes

AX-6239 - An issue has been resolved when loading a survey that has previously been undertaken; previously, this would allow the user to fill out the survey and submit before advising that the survey was already complete.

AX-7522 - A performance issue has been resolved on the "Add Student to Class" page when there are several units and assessments attached.

AX-7561 - An issue has been resolved when attempting to delete an organisation that is linked to a class as the school organisation. An additional check will now be run to detect if the class has enrolments and if so, the appropriate error message will be returned. Otherwise, the organisation will be deleted (note that this will remove them as the school organisation against the class). 

AX-7575 - An issue has been resolved where it was possible to send a template if the permission was removed from a user after having already reached the email template form.

AX-7610 - An issue has been resolved with displaying all related eLearning Activities against a Unit in the Learner Portal accredited activity view.

AX-7517 - Form validation on the Finance Models page has been improved so you can no longer set a minimum value that is greater than the maximum

AX-7523 - We have now added an additional "Time Range" field to all event types in the calendar. This was especially desirable for clients who were used to the legacy calendar and wanted to see start and end times for all events on the month view.

AX-7524 - By popular demand, the calendar will now show timed events (those with a start and end time on the same day) in the month view the same as all-day events, with white text on a coloured background. This will only happen if more than one field is selected to view with the field configurator, found under the filters menu.

AX-7532 - Previously, our reporting queue has been off while the warehoused database is offline during the nightly refresh. We have now improved our reporting queue to process live reports 24 hours a day.

AX-7546 - We have added a new setting to the VET Settings tab of the system settings to allow for overriding the default started outcome for unit enrolments (Enrolments where the unit start date is in the past). This will allow the default state outcomes to be overridden for both not started and started units.

AX-7576 - We have made the error messages more clear when attempting to change an aXcelerate password and failing the minimum check requirements of having at least 6 characters and at least one number, symbol or mixed-case character.

AX-7498 - The Accredited Related E-Learning in the Learner Portal (on the home page) is now sorted by Learner Start Date (descending) or Learning Activity Start Date (if Learner start date not set) and Name (ascending) order

The E-Learning listed on a Contact Page will now display Access Start and Finish dates when the Commenced and Completed statuses are not available.

AX-7533 - New contacts that are created from the In-house Workshop booking page will now have correctly formatted address objects if the address is copied from the client contact.

With package rules enabled, these units will count toward the out of scope elective count.

We have fixed the class unit header across the matrix and the bulk set outcomes and contract pages to be consistent.

We have added the class matrix's "Filter by Status" field to the bulk set outcomes and contract pages to allow users to view students by statuses.

We have added a new filter status "All" which will allow users to view all students in the class matrix regardless of their enrolment status.

AX-7348 - A new Dashboard Widget called aXcelerate Help (which interacts with the aXcelerate Assistant) has been added

AX-7445 - Updated the invoice and credit note form to prevent users from attempting to enter more than 25 characters into an item code.

AX-7432 - The performance of the calendar has been improved

AX-7450 - Updated the Fee/Concession field for Victorian enrolments to show the full description when selected. Changed the terminology for Aust. Apprenticeship Centre to Aust. Apprenticeship Support Network.

AX-7464 - We have added a check when updating organisations against a contact. This means users must now click an edit icon next to the organisation name on the contact update page in order to change this field. If the system detects that the contact is linked to future payment plan instalments for other students, then changing this organisation is highly discouraged. This was added to prevent problems with corrupt finance data after a key employer or payer contact's organisation is changed.

We have also added a new contact filter "Payer" in payment plan instalment reports.

AX-7488 - The timetabling feature has been updated so the Equipment field uses the standard multi-select used in other areas of aXcelerate. This will enable users to select multiple items much more easily. 

AX-7520 - Updates to the Canvas Integration have been made. You can now choose the Canvas Course Section when directly enrolling a Student into an Activity. Also, you can now tell aXcelerate to try and use the Class Name as the Section Name during a Class enrolment.

AX-7531 - Performance has been improved for the Stand-Alone Assessments page.

AX-7534 - Credit note reports now has a new display field: Source Invoice ID. This field is the ID of the invoice used to initially generate this credit note. It is only populated if the credit note was created directly from an invoice.

AX-6789 - The Moodle User ID has been added as a display field to the Class Enrolments - Warehoused report

AX-7503 - Workshop Enrolment Mode will now be logged with its descriptive label instead of a number indicating its order in the dropdown.

AX-7443 - The widget dashboard is now standard for all clients and users. The legacy dashboard has been removed.

AX-7462 - Finance models are now correctly honouring the Min and Max item values when calculating the invoice amounts. You will see this change when you manually invoice a student with a finance model applied to the enrolment.

 

Bug Fixes

AX-7350 - Fixed an issue where linked contacts, such as payer or employer, were sometimes not coming up in the contact merge interface. We also fixed an issue where a merged and removed payer was not being updated against contacts that they were set as the payer for.

AX-7402 - An issue has been fixed in the Assessment Engine where a test would auto select an answer (on a duplicated question) that was previously used/submitted in the test.

AX-7414 - A bug has been fixed in the Assessment Plan & Workshop Type Assessment Scheduling. The Plus/Minus values can now be removed without having to reset it back to "immediately"

AX-7426 - To reduce user error, editing the qualification full outline now only supports the HTML WYSIWYG editor.

AX-7438 - An issue has been resolved with displaying results on the Mapping Review page for Online Assessments

AX-7164 - Clients can now customise their template categories! The default categories you are currently using will already be added for you. Go to Settings > Template Categories to edit.

 

Important Changes

AX-7355 - When issuing a certificate, a warning will now appear against any student record where fees are outstanding. This will not prevent you from issuing the certificate, it will only be a visual warning. If you would like this warning to be a little stronger, there is a system flag in the RTO / VET tab labelled "Issue certificates only if fully paid". If on, this setting will prevent the issuing of full certificates, both accredited and non-accredited, for students with outstanding fees. Note that this setting was previously located at the bottom of the Additional Options tab but has been moved.

 

Improvements 

AX-7125 - Added the ability to view / print assessment results for students by the attempt.

AX-7156 - The unit count has been added to Qualifications in the Online Assessments Mapping page. Units will also display the number of elements that they are comprised of, and Assessment Tasks will display the number of items.

AX-7161 - Two new Template Defaults have been provided to allow customisation of the email payers receive from Online/API enrolments when they are not booked on the course. These templates are not required to be set, and will only be used if they are.

AX-7232 - If the commencement date is changed when enrolling a student into a class, the unit outcomes will update to reflect the relevant Started/Not Started outcome depending on the date chosen.

AX-7280 - The Payment Plan Installments report is now available to be run on warehoused data.

AX-7175 - Fixed an issue where images with single quotes in their filename were unable to be added to a certificate template.

AX-7220 - Fixed an issue where newly created asset bookings on the calendar may not respond correctly to the domain filter until the page refreshes.

AX-7223 - Fixed an issue where special HTML characters, such as "&", were being rendered incorrectly on the asset booking update form in the calendar.

AX-7225 - Fixed an issue where workshop participant numbers were off by one when booking into linked workshops via a class.

AX-7260 - Adding or removing contact categories against a contact record now requires the contact update permission. The actions will appear disabled for users without this permission. Permission errors output on the access denied screen will now use client terminology if applicable.

AX-7272 - An issue was resolved where expected values would be overstated in the contract reconciliation feature if multiple invoices had already been raised against a single subject enrolment for the given schedule.

AX-7276 - Fixed an issue were employer related template fields were not always being populated correctly when generating for multiple student rows. 

AX-7286 - Some SCORM/TinCan Activity Stream actions which that were displaying as "unknown" should now display correctly

AX-7289 - Fixed an issue where the default school name was sometimes causing issues on the class enrolment page if the name had a single quote in it.

AX-7087 - Full stops can now be used in the "Gap Text" feature of Online Quizzes (QTI) in Online Assessments.

AX-7206 - An option has been added to copy mapping when duplicating assessments tasks in the Online Assessments feature.

 AX-7237 - The Assessment Preview for Online Quizzes (QTI) has been updated.

AX-7258 - We have improved the way Moodle completions work internally for very large Moodle courses with more than 2000 enrolments. These improvements were required to address performance issues. This update also requires an update to our aXcelerate Moodle plugin. If you require the new plugin (v3.2) please contact support. This update is recommended for all Moodle clients and is required if your account has any Moodle courses with 2000 enrolments or more.

AX-6006 - For clients using the finance export feature, there is a new field against workshop types, Default Finance Code (Public Workshop). This value, if set, will be the default finance code set against workshop instances when creating public workshops. If blank, the system will continue to default to the main default finance code, which is also used for In-House or timetabled workshops.

AX-7233 - We have removed the forced enrolment date restriction for the API course/enrolments when searching by last updated date.

AX-7104 - Resolved an issue that allowed workshops to be created without an assigned trainer.

AX-6905 - We have introduced a new workflow action, Send Contact SMS. This action will allow SMSing to be part of report-triggered automated tasks.

AX-7166 - Added date of birth to the contact search modal when bookings participants on a workshop.

Improvements

AX-6966 - For Online Assessments, assessors can now change the score of system-marked items. As for manually marked items, these can be changed if the attempt is not yet finalised. An internal system note will be added to the item to indicate that the score was manually changed.

AX-7019 - When exporting invoices or credit notes from aXcelerate to XERO by default the exported entity is automatically related to the specified organisation provided an organisation has been specified in the "Bill To" address. It is now possible to overwrite this default behaviour by forcing the entity to be assigned to the entities contact instead, disregarding the organisation. To do so click the "More options" link displayed on the bottom of the invoice/credit note edit page which will reveal the option: "Force to XERO contact". Check this option to force the exported invoice or credit note to be related to the contact record.

NOTE: This feature is only visible if the "Detect student contribution invoices" option has been enabled within the "System Settings -> Additional Options Tab".

AX-7111 - The calendar now has a filter option to display courses and events in "No Domain". This filter can be combined with other filters, including other domain filters, and used in saved views.

AX-7118 - To improve accuracy and performance, the search contact duplicates page now loads with "Match DOB" and "Match Email Address" checked by default.

AX-7159 - IELTS Score is now available as a field in the template system.

AX-7177 - Two new filters have been added to the calendar: Room and Equipment. These filters will apply only to workshops and asset bookings. Further, equipment has been added as a new display field for workshops.

AX-7203 - We have added ORGID and SHIPORGID to the return structure from the /accounting/invoice API.

AX-7213 - A new field "Latest Scheduled Payment Plan Due Date" can now be found in the "Class Enrolments - Warehoused" report.

AX-6834 - The Fee Exemption/Concession Type field has now been updated to support a second character as required by Victorian 2019 AVETMISS changes. Enrolments set to the Victorian state will also be able to override this value at the unit enrolment level.

AX-7102 - The organisation payer search has been updated so that the payer cannot be sourced from a "sibling" in the organisation tree and the payer contact does not have to be from the same organisation. Also, the personal Payer/Employer contact will only be considered as the payer contact if the customer contact has no organisation.

Bug Fixes

AX-6891 - Fixed a bug in the API preventing the assignment of the purchase order number against an invoice via the /payment endpoint. In the case where a purchase order is specified for a finalised invoice, the API will return an appropriate error message.

AX-7121 - The performance of the 'Aged Receivables - Warehoused' report has been improved when the report is run with a domain filter or by a user that has a domain. Please be aware that any existing saved reports for any Aged Receivables report may have to be updated if there are any domain fields in the report.

AX-7149 - Fixed an issue with the Goals / Quality Register page where some goals were not being listed.

AX-7150 - Fixed an issue where the Merge Documents compile to print table did not fit on the page in Internet Explorer.

Improvements

AX-4789 - Users that have the finance delete permission are now able to reverse the "Voided" status of invoices and credit notes. The option is available via the "More" option on the left-hand side toolbar when viewing a 'voided' credit note or invoice.

AX-5964 - Support has been added for internal qualifications and their units to appear in the Assessment Engine. Elements and performance criteria will be added in our next release.

AX-6079 - VIC Program Status ID has now been added to class enrolment reporting. Only explicitly set values will be reflected in the report.

AX-6546 - We have added additional settings at the assessment type level for Online Assessments. These new settings control the assessments' visibility and behaviour in the Student Portal. These are "Task Visible to Student", "Task Items Visible to Student" and "Student can respond"

AX-6765 - Unlinking activities from a class is now controlled by the Class Update permission.

AX-6841 - Students will now only be able to update their phone number and email address after their USI has been verified.

AX-7023 - Unanswered Online Quiz questions will now say "Not Answered" instead of "Submission Not Recorded" on the View Attempt Responses page, in the Learner Portal.

AX-7101 - You can now easily configure the Class Unit Setup for an out-of-scope unit enrolment. You will be able to set assessments here that do not apply to other students in the same class. 

AX-7122 - Mouse-over "tooltips" in the Assessment Authoring area now work better in all common browsers.

AX-6833 - The "/api/accounting/invoice/:invoiceid" endpoint now also returns the billing country name, country iso code, shipping country name and shipping country iso code.
