Qualifications are one of the primary components of accredited training management in aXcelerate. They contain the necessary information for reporting and compliance purposes and are linked to the settings of classes in your system.
Courses
Add a qualification
Qualifications can be created manually or created or imported through training.gov using the search bar at the top of the qualification creation page.
The financial information that is set against the qualification will be the default values applied to all classes created of this qualification type.
- Click Add New Qualification
- Enter the Qualification Code
- Enter the Qualification Name
- Set the Nominal Hours of the course
- Click Submit
Tip: Enabling Display Web Outline will allow the qualification to be displayed on your website when using the aXcelerate WordPress plugin for Online Enrolments. The Short Description and Qualification fields will control the information that displays online.
Note: We recommend that you add a qualification manually if it does not exist on training.gov or if it is an internal qualification that is not reported for AVETMISS.
Import a qualification
You can import a qualification and its associated information from training.gov by using the search bar at the top of the qualification creation page.
- Click Add New Qualification
- Search for the qualification in the search boxes at the top of the page
- Enter the Qualification Name
- Set the Nominal Hours of the course
- Click Submit
Note: You will still need to set the nominal hours of the qualification after it has been imported.
Update a qualification
- Click the Update icon next to a qualification
- Make the required changes to the qualification
- Click Submit
Tip: If this is an 'internal' qualification (a qualification not listed on training.gov.au) and you would like this to appear in the Online Assessment Mapping area, you must select the checkbox for "Enable Assessment Mapping".
Note: Some qualification fields such as Cost and Discounts will only apply to newly created classes and not update pre-existing classes.
Delete a qualification
- Click the Delete icon next to a qualification
- Click Ok when prompted to confirm the deletion
Note: A qualification cannot be deleted if any classes to the qualification exist in your system. You may wish to deactivate the qualification instead.
Deactivate and activate a qualification
- Select the Deactivate icon next to a qualification
- View deactivated qualifications by selecting the Inactive tab above the list of qualifications
- Select the Activate icon next to the deactivated qualification you wish to reactivate
Note: Inactive qualifications will not appear in lists of selectable qualifications in other areas of the system.
Set a Qualification Booking Confirmation Template
When online bookings take place a booking confirmation will be automatically sent to new students. By default, the Default System Online Class booking email text template will be sent. You are also able to select a custom template to be used for all bookings into a particular Qualification.

- Select an Online Booking Confirmation Template
- Click Submit
Tip: If an Online Booking Confirmation Template has not been selected, the Default System Online Class booking email text template will be used. Please refer to our Default System Templates help article for further information.
Create a qualification stream
Qualification Streams enables you to create different versions or 'Streams' of a particular qualification with alternate units, descriptions or other associated settings.
This feature is beneficial where an RTO needs to create multiple different offerings of the one qualification with a variety of unit of competency combinations. For AVETMISS purposes, all stream variations of the one qualification will be reported under the same qualification code without the stream name.
- Add or Update a qualification
- Set a Qualification Stream
- Click Submit
Tip: Each stream can be linked to different Training Categories or qualification specific Workflow triggers.
Note: aXcelerate will identify each stream as an individual qualification within the system. Units and settings associated with the qualification will need to be added to each stream that is created.
Add a unit to a qualification
You are able to add units that already exist within aXcelerate or search for units to add from training.gov. You can add a unit from the list of qualifications or from the qualification update page.
Please refer to our Managing Units help article for further information.
- Click Add New Unit
- Select Search aXcelerate or Search training.gov.au
- Search for a unit
- Click Submit
Note: Ensure the Core Unit checkbox is ticked if the unit is compulsory to complete within the qualification.
Deactivate a Unit for a Qualification
You are able to deactivate a unit against your qualification. This can be useful when a unit is superseded but unable to be deleted as it contains enrolments.
- Click the dropdown next to your Qualification
- Click the Deactivate icon
- Click Ok
Tip: To reactivate a unit that has been deactivated, simply follow these steps and click the activate icon.
Note: This will not deactivate your unit from your Unit's scope (Courses > Units) rather, only against this qualification. If your unit has been superseded, we would also recommend deactivating this in your Unit scope.
Remove a unit
You are able to remove/delete a unit against your qualification. This can be useful when a unit is superseded and does not have any enrolments.
- Click the dropdown next to your Qualification
- Click the Delete icon
- Click Ok
Note: This will not delete your unit from your Unit's scope (Courses > Units) rather, only against this qualification. If your unit has been superseded, we would also recommend deactivating or deleting this in your Unit scope.
Warning: You cannot remove or delete a unit that has enrolments.
Add a module
A module is a grouping of units that can be added to a qualification.
- Update a qualification
- Click Modules beneath the list of units
- Set the Module Name
- Input the Module Code
- Enter the Module Cost
- Add additional Units not in any Module as required
Tip: Modules are sometimes referred to as 'Units of Study' or 'Clustered Units'.
Note: If Vet Student Loans are enabled you will need to supply the EFTSL and Module Field of Education instead of the cost.
Create an elective stream
An elective stream is a group of elective units that you define per qualification or qualification stream.
Once an elective stream is created, you will be able to set Elective Rules so that a particular number of units within a stream will be compulsory to complete.
- Update a qualification
- Click Add Elective Streams
- Click Add Elective Stream
- Set a Code and Name for the stream
- Click Assign units to streams
- Drag Elective Units into the Stream
- Click Submit
Configure elective rules
Elective Rules can determine the number of units within a particular Elective Stream as compulsory to complete.
- Update a qualification
- Locate the Add New Rule box under Package Rules
- Set the number of required units from the stream to complete
- Select the streams you would like to apply this rule to
- Click Submit
Note: Before you are able to configure elective streams you will need to create an Elective Stream.
Apply a default assessment
Once you have created your assessments, you will then need to set these as default assessments against your qualification. This will then allow these assessments to be automatically selected when creating a class with this qualification.
- Click the Update icon next to your qualification
- Click the Default Assessment button next to your unit in the qualification
- Click the Add icon next to your assessment
- Configure any fields as necessary
- Click Add Assessment Default
Note: This does not apply to clients using the Online Assessment Feature.
Update a default assessment
- Click the Update icon next to your qualification
- Click the Default Assessment button next to your unit in the qualification
- Click the Update icon next to your assessment
- Configure any fields as necessary
- Click Update
Note: This does not apply to clients using the Online Assessment Feature.
Remove a default assessment
- Click the Update icon next to your qualification
- Click the Default Assessment button next to your unit in the qualification
- Click the Delete icon next to your assessment
- Click Ok
Note: This does not apply to clients using the Online Assessment Feature.
Update the qualification timestamp
When on the qualification update page, a timestamp will be displayed to show the time that the last update occurred as well as the user that performed the update.
The following actions will cause the timestamp to be updated:
- Adding a qualification
- Updating qualification fields
- Updating qualification outline
- Activating or deactivating the qualification
- Adding or removing units against the qualification
- Activating or deactivating the unit/qualification relationship
- Adding, updating or removing modules
- Adding or removing units against modules
- Adding, updating or removing elective pools
- Adding or removing units against elective pools
