The Manager User Role allows access to the parts of aXcelerate required for Skills and worker (learner) management. A Manager will only be able to see workers within their own Organisation, or any Child Organisation within the Organisation tree.
Tip: If you require an organisation to be created or updated please reach out to your administrative team for further assistance.
Manager view
The Manager view has been designed to allow Managers to access aXcelerate and manage Workers within their Organisation. The view contains four main sections that the Manager will interact with:

This section is where the Manager will see a list of all workers that are part of their own Organisation, or any related Child Organisations.
Matrix Views
This section provides access to the Skills and Authorisation Matrix views.
Organisations
This section is used to create and update Organisations and related details, as well as link Contacts to Organisations. The functionality of this section will depend on the user permissions applied.
Help Requests
This section is used to view and reply to any workers’ help requests that have been assigned to the manager.
Assigning roles to Workers
Depending on your user permissions you may have the capability to assign Roles to Workers.
- Select Skills from the navigation menu, then select Workforce.
- Search for or select the worker, then select the worker.
- Search for the Role, then select + Add Role.
Note: If you do not have the required permissions to assign a Role please reach out to your Management team internally.
Configuring Roles for Workers
Once assigned, a Role can be configured to account for any updates or changes required for that worker.
Updating a Competency from Additional to Required:
In certain circumstances a Competency may be included in a Role while not being required for all Workers assigned to that role. In this situation, the Competency would be added as an Additional Competency, where it can be assigned on an individual basis. If a Worker is required to achieve an Additional Competency then this would need to be updated using the steps below:
- Select Skills from the navigation menu, then select Workforce Management.
- Search for or select the worker, then select the worker.
- Select the Role that required updating.
- Select the Additional Competency.
- Update the Obligation field to Required.
Manually updating a Worker’s Role
An Administrator or Manager can manually update the status of a Competency within a worker’s Role, enrol workers into specific activities such as Workshop/Class instances, or assessments and e-learning activities. Managers can also upload evidence or portfolio documentation on behalf of a worker.
Manually update a Competency status:
- Select Skills from the navigation menu, then select Workforce Management.
- Locate then select the worker.
- Select the Role, then the Competency.
- Select the status to be applied from the dropdown within the Status section. The status must be changed from Not Started to In-progress before it can be updated to Achieved or Revoked.
- The new status has been applied to the Competency.
Note: To make these changes, the user will require the Skills Manual Override permission.
Enrolling a Worker into a Workshop:
If a Competency requires a Worker to complete a Workshop activity, a Manager can enrol the learner into an upcoming Workshop instance (calendar event).
- Select Skills from the navigation menu, then select Workforce Management.
- Search for or select the worker, then select the worker.
- Select the Role that requires updating.
- Select the Competency with the workshop activity.
- Select the specific workshop from the available options and enrol the worker.
When a Manager enrols a Worker into a Workshop instance, the enrolment is confirmed immediately. If a Worker selects their own Workshop, the enrolment will remain tentative until the Manager confirms it is suitable. To confirm a Worker’s Workshop selection, still in the worker’s profile, navigate to the Competency, select Requirements and then the Workshop activity.
Managers must also ensure that any assigned prerequisites are completed before enrolling a Worker into a Workshop from Skills. If prerequisites are not met, the system will prevent the enrolment. However, Managers can override this restriction by enrolling the Worker directly from the Workshop itself.
Enrolling a Worker into a Class:
If a Competency requires a Worker to complete a Class activity, a Manager can enrol the learner into an upcoming Class instance. Classes are typically used for longer or more complex training courses, and will often have a more generalised date span compared to Workshop instances.
- Select Skills from the navigation menu, then select Workforce Management.
- Search for or select the worker, then select the worker.
- Select the Role that required updating.
- Select the Competency containing the class activity.
- Select the class instance from the available options.
- Select Enrol.
Uploading evidence of Prior Learning on behalf of a worker:
- Select Skills from the navigation menu, then select Workforce Management.
- Search for or select the worker, then select the worker.
- Select the Role that requires updating.
- Select the Competency, then the Prior Learning tab.
- Upload the evidence using the +Upload Prior Learning option.
- Complete the required fields and attach the required documentation then select Upload.
- Select Upload Evidence to confirm submission.
- Once the evidence has been submitted, it will be available for review by an Admin or Manager with the appropriate permissions.
Uploading a Portfolio document on behalf of a worker:
- Select Skills from the navigation menu, then select Workforce Management.
- Search for or select the worker, then select the worker.
- Select the Role that requires updating.
- Select the Portfolio Document Competency.
- Upload the document and complete the required fields.

Role Status
The Role Status recorded against a Worker’s Role determines the validity of the Role.
A Role is considered valid if all required Competencies have an achieved status. This includes any mandatory and additional competencies assigned to the worker.
The Statuses that can be recorded are:
Status
Meaning
Not-Started
The worker has not commenced any activities for any of the Competencies.
In-progress
The worker has commenced activities within one or more Competencies.
Valid
The worker has completed all activities and all Competencies have been achieved and have not Expired.
Invalid
Any of the Competencies have expired or have been manually marked invalid by a Manager.
Revoked
The Competency Achievement has been manually revoked by a Manager.
Note: Role Statuses cannot be set manually, and are instead dynamically re-evaluated whenever a change or update is made to Competencies within the Role.
Matrix Views
The Skills and Authorisation Matrix views have been created to allow Managers and Administrators the ability to quickly identify skill gaps and any workers who may be at risk of their Role becoming invalid which would cause any linked Authorisation to become revoked.

Help Requests
This aims to reduce time spent troubleshooting issues with learners, gain better insights, and keep all of your communications in aXcelerate for simplicity and auditing purposes.
When viewing the list of Help Requests, clicking on a Request will open the thread and let you view the message history as well as send a new message.
New messages can be sent by simply typing in the response area and clicking Send.
Managers will be able to view submitted Help Requests within the dedicated tab.
