Workers need access to the Learner Portal to view their assigned Roles, see the Competencies required, and complete Activities to achieve them. Once all Competencies linked to a Role are achieved, the Role is considered valid and the worker is deemed competent.
Assigned Roles appear on the Learner Portal dashboard under Authorisations.
If you are completing activities through a class or workshop, the related enrolment can be found by scrolling past Authorisations and Roles to the Current Activities section.
Tip: The search bar can be used to find assessments resources or access unit enrolments directly by entering a related term within the search bar.
Competencies
By selecting a Role, the Competencies required for that Role can be viewed, along with the current status of each Competency.
Competencies that have already been achieved, or granted through equivalency, will be automatically marked as Achieved. All other Competencies will be displayed based on their current state i.e. as Not Started, In Progress, Expiring Soon, etc.
The default status of a worker’s Competency in a newly applied Role is Not Started. Further actions, such as Workshop or Class enrolments, the commencement of activities, or the detection of an equivalency, will see other statuses be automatically applied.
There are several statuses that may be applied to a Competency. Not Started
None of the activities have been commenced.
In progress
At least one activity has been commenced, but not completed.
Pending
Activities or evidence linked to the Competency are awaiting review by an Administrator or Manager.
Expiring soon
This Competency has been achieved, but is approaching the expiry date defined by its validity rules. To retain an achieved status, recertification activities will need to be completed by the worker.
Expired or Revoked
The Competency, which was previously achieved, has either expired without renewal, or has been manually revoked by an Administrator or Manager.
When a Competency is selected, the Requirements tab will be displayed. This will show any activities that must be completed to achieve the Competency.
To view information including relevant dates and options for submitting evidence of prior learning, if applicable select the Details tab.
Any prerequisites that must be completed before starting the selected Competency can be viewed by clicking on the “View Prerequisite” button within the Requirements tab or within the Prerequisite tab. The related Competency can be accessed directly by selecting it from this tab.
Any activities that must be completed will be listed under the Requirements tab.
By selecting an activity, it can be started, this may include completing an assessment, engaging with an e-learning activity, or booking into a workshop session.
Self Enrolment
If enrolment into an activity or session has been completed by a manager, the specific task or session will be displayed, however, in some cases, activities may offer the option for self-enrolment into a class, workshop, e-learning activity, or assessment. Each activity will state the type of activity or task required as seen below.
Self-enrol into a class:
- Navigate to the Competency and select the Activity.
- Select a class from the available options.
- Select enrol.
Self-enrol into a workshop:
- Navigate to the Competency and select the Activity.
- Select a workshop from the available options.
- Select Request booking.
- Your Manager will then confirm the booking if the session is applicable.
Tip: If there are no suitable workshops or classes available please reach to your manager or admin team.
Self-enrol into an E-Learning Activity or Assessment:
Navigate to the Competency and select the activity. Enrolment will automatically occur into the activity which will then be available to commence immediately.
Tip: If you do not have any activities scheduled or available for self-enrolment please reach out to your Manager for guidance.
Submitting evidence of prior-learning
For some Competencies, the submission of evidence for prior learning may be allowed. To begin this process, the Prior Learning tab should be accessed, and Continue selected within the Details tab of the Competency.
The required information can then be entered, and supporting documentation uploaded for review by a manager.
Once submitted, the Competency status will be shown as Pending until the evidence has been reviewed by an Administrator or Manager.
If the evidence is approved, the Competency will be marked as Achieved. If the submission is rejected, new evidence may be resubmitted, or the Competency can be achieved by successfully completing the linked activities.
Role Achievement
Once all Competencies under a worker’s Role have been successfully achieved, the Role will be marked as Valid.
