Date Picker Option for Start/End Date on Apply Credit Transfers for Each Enrolment (CT Unit Status)
Hi Team,
We are receiving AVETMISS errors from DESBT where students have had a CT applied on a class enrolment due to the unit start and end date being applied the same as the class start/end date. The error relates to the end date being future dated.
When on the 'Add student to Cohort' screen (using the 'Enrol in a Qualification' element from the 'Action' menu on a contact profile to enroll a student into a new class.), is there the ability for you to add a date picker in the Apply Credit Transfers for each enrolment section so we can generate correct start/end dates in the Proposed Credit Transfers section.
Currently we have to do this manually for each unit that is a CT on the next screen (we don't select the tick box and have to update the status and start/end date).
This can mean a large number of CT status updates if the student is going from a Cert II to a Cert III. This activity is further exacerbated if there a number of classes where we have multiple students having the same thing applied to their units.

Yes, we have also had reporting issues with CT units as per my similar post that Robbie already linked to. The guidance from NCVER is that the start and end date of the CT unit should be the date the CT is administratively processed, so when the RTO grants the CT status.
So it would make sense if aXcelerate automatically applied this date logic when applying the CT status to units within the system.
Users can manually change the unit if needed but currently, every user needs to be manually changing dates to actually be compliant with reporting if they are using the system to automatically enter the CT status.

We've been doing some research and we plan on correcting this in an upcoming release.
Our research has landed us on proposing the following logic for the default dates:
- If the course has commenced, then the Start and End date of the CT units will be today
- If the course is in the future, then the Start and End date of the CT units will be the course commencement date
Given the above, would there be any reason to need to adjust the dates?

Hi Mark, that logic for the course commenced sounds like it would work really well for us to be compliant, hopefully it works for others as well.
I imagine future dated units will always cause an error in the system, however, but I understand the idea of having the unit dates fall within the course dates.

Hi Mark, I believe it would cause an error if it appears in reports to NCVER or DESBT being future dated but I can double check this.
It is good if aXcelerate flags the issue as an error if it is likely to be viewed as an error externally.
I might have to look into this and come back to you if that is ok.

Hi Mark, I double-checked with our team member who does smart and skilled reporting and can confirm that it would suit us to have this functionality to apply with courses that have not yet commenced. :)

Hi all,
I've had an opportunity to speak with our Student Services team and they agree with Pip's team regarding:
- If the course has commenced, then the Start and End date of the CT units will be today
As for:
- If the course is in the future, then the Start and End date of the CT units will be the course commencement date
This would not work as our RTO is in QLD and this logic would still generate AVETMISS reporting errors.
Is there an option to update the system code to exclude these CT units out of the AVETMISS reporting until the actual commencement occurs. The logic could then include the CT unit data in the AVETMISS reporting.

Thanks for checking in.
Currently it's a manual two step process. Prior to the commencement date of the class, our process is to use the 'NR' status to flag the units that the students have a CT with and use 'NYS' for the units that will become 'CA'.
Once the commencement date occurs, we then go back and update the 'NR' flagged units to 'CT'. This is done to avoid generating the error if we set the 'CT units' with the CT status when the enrolment is first created prior to the commencement date.
The main problem is that we can have classes with over 100 students that may have one or more units that need to be reported with the 'CT' status, so having to eyeball those units and making sure we change the correct units is pretty labour intensive.
