Include "Copy To" Recipients in Contact Notes for Sent Emails
When sending an email template from aXcelerate, users can manually enter email addresses and contacts in the "Copy To" field. However, once the email has been sent, the generated contact note only records the email content and primary recipient. The CC recipients are not recorded anywhere in the contact history.
This creates a significant communication tracking issue, as there is no way to confirm who else received an email after it has been sent.
When an email is sent from aXcelerate, the generated contact note should automatically record ALL recipients.
It is often critical for RTOs to confirm whether parents, schools, employers, or other stakeholders were included in communications. This information supports compliance requirements, record-keeping, dispute resolution, and general communication management.
Currently, staff must rely on memory or manually add notes to document who was copied into emails, which is inefficient and prone to error. Recording all recipients directly in the contact note would provide a complete communication history and improve auditability.
