Greater Control Over Organisation-Level Discounts Based on Enrolment Source
Many RTOs use organisation-level discounts to manage contracted pricing arrangements with employers. These discounts are highly valuable as they streamline enrolment administration, automate invoicing processes, and ensure employer-specific pricing is consistently applied.
Currently, organisation discounts are applied globally whenever a learner is linked to an organisation. This creates challenges when learners self-enrol through the website, particularly where:
- The learner is no longer employed by the organisation.
- The organisation is not funding the training.
- The enrolment is intended to be a full-fee individual booking.
- The RTO has not yet been advised of employment changes.
As a result, discounts can be unintentionally applied to public website enrolments, requiring manual invoice adjustments and creating additional administrative workload. aXcelerate Support has confirmed that organisation discounts currently operate as an "on/off" system-wide setting and cannot be restricted by enrolment method.
Can we please suggest:
Allow RTOs to configure how organisation-level discounts are applied, including options such as:
- Apply organisation discounts to all enrolments (current behaviour).
- Apply organisation discounts only to administrator-created enrolments.
- Apply organisation discounts only to specific enrolment sources.
- Exclude website/self-service enrolments from automatic organisation discounts.
- Allow organisation discounts to require approval before being applied to online bookings.
- Allow discount rules to be based on enrolment source, venue, class type, or booking method.
For organisations like ours, where the majority of bookings are employer-driven and managed directly by administration staff, organisation-level discounts are a critical automation tool. The goal is not to remove this functionality, but to provide more granular control over when and how these discounts are automatically applied.
