Hi aXcelerate Team & Community,

Proposal:

Automatically update the "Item Description" on invoices when a student’s workshop/class booking date is changed.

Example:

Invoice Item Description:

Workshop Booking for Matthew Bremner - HLTAID011 Provide First Aid (12 February 2026)

If Matthew moves to 26 February 2026, the invoice item should automatically update to:

 

Invoice Item Description:

Workshop Booking for Matthew Bremner - HLTAID011 Provide First Aid (26 February 2026)

 

Why this helps:

• Keeps financial records accurate and reduces manual corrections.
• Prevents confusion for students, admin staff and clients.
• Saves time for short course providers like us who frequently reschedule bookings.
• Improves consistency between enrolment/attendance data and invoicing.

Suggested behaviour:

• When a booking date is changed, propagate the new date into any active invoice item descriptions referencing that booking, whether finalised, locked or unlocked.
• Optionally provide a system setting to enable/disable automatic updates for organizations that prefer invoices to remain unchanged once issued.

  I would say something like this you would want it to be optional.

  We export our finance data to Xero daily, so any change on an invoice within aXc would mismatch the information on the invoice in Xero (where most of our debtors work is done).

  I have previously submitted a forum post suggesting the ability for us to change what is automatically listed on an invoice (Custom invoicing descriptions – aXcelerate Support). I would almost see value in not having the date on there, especially when you have functionality to send booking confirmations as things change/update.
