This guide provides troubleshooting steps for common error messages encountered during the Online Enrolment process in aXcelerate.
A selected instance is not available for enrolment
This error may occur when a student attempts to enrol in a Workshop or Class, but the enrolment is rejected due to the course's ineligibility.
For Workshops, this message usually appears when:
- The Workshop instance start date is in the past (for workshops with complex dates, ensure the first start date is not in the past).
- The Workshop instance has reached full capacity, and the maximum number of participants has been reached.
- For In-house Workshops, the Expected Learner Number acts as a placeholder for enrolments. This number will need to be lowered to allow the remaining spaces and open the course for enrolments, i.e. Min Learners 0, Max Learners 10 and Expected Learners 10 will mean this Workshop has no available spaces for enrolment.
- For In-house Workshops, the enroller options within the aXcelerate Integrations Plugin will need to have the "Allow Inhouse Enrolment" option set to "Yes".
- The Workshop instance has been deleted or cancelled.
- The enrolment form or link used by the student does not reference an existing Workshop Type or Workshop instance. Verify the URL for invalid course or instance IDs.
For Classes, similar issues can occur when:
- The end date of the Class is in the past.
- The Class has been deleted or is inactive.
- The enrolment form or link used by the student does not reference an existing Qualification or Class instance. Verify the URL for invalid course or instance IDs.
- The Qualification does not have the "Display Web Outline" setting ticked.
This student is already enrolled in the course
This error typically occurs for various reasons:
- The student is already enrolled in the Workshop or Class instance with a confirmed or booked enrolment.
- The original invoice for the enrolment has been modified, such as finalising the invoice number, deleting the invoice, or voiding the invoice.
Tentative enrolments that are already in the Workshop or Class are usually not considered an issue and can resume their enrolment.
Due to resumption of an already created/modified invoice, resolution may require manually confirming the student's enrolment, or sending the invoice payment URL directly to the student and confirming them manually.
Missing Course Information
The message reads: It looks like the required course information to complete this enrolment is missing.
You may need to begin the course selection process again, or request a new enrolment link.
- This message will be displayed when the URL is missing important course information. An enrolment URL will typically be displayed with a prefix (example: https://axcelerate.com.au/enrolment-form/) followed by a suffix or URL query (example: /?course_id=100587&course_type=w&instance_id=1822021/).
- The missing suffix from the URL will cause this issue to display.
- If this message is displayed, verify the learner is enrolling using the full URL and the Suffix or URL query is still part of the URL.
Note: Post Enrolment Forms and Course Select Forms do not need the Course Information as part of the URL.
