Welcome to the aXcelerate billing overview! This guide explains how we charge for your licence and usage, what each line on your invoice means, and how different billing models apply and are based on your agreement’s unique service period.
Note: Wherever we refer to your billing year or service period, it reflects the individual start and end dates in your contract—not necessarily the calendar year.
Billing Periods & Dates
- Your billing year runs for 12 months, determined by your Agreement Commencement Date.
- You’re invoiced monthly based on this same cycle—e.g., if your agreement began on 15 March, your billing month runs from the 15th of each month to the 14th of the next.

Monthly invoices include:
- Long Course fees (invoiced in advance for the upcoming month).
- Short Course fees (invoiced in arrears, for the previous month) and
- Work‑Based Learning fees (please refer to your agreement for how your specific pricing structure applies to your account).
What You Could Be Charged For

Professional Services Fees
One-off setup or onboarding costs (e.g. training, data migration or custom online enrolments), typically spread monthly over your first year. -
Annual Recurring Fees
Ongoing maintenance or optional services (e.g. online enrolment plugins, SCORM engine access), billed monthly. -
Licence Fees
Your licence fee depends on the billing model(s) you're using:- Long Course Learner Billing – Based on your selected annual learner tier; additional fees apply if you exceed it.
- Short Course Learner Billing – Charged per course commencement each month, using tiered pricing.
- Hybrid – A combination of the above models.
- Work‑Based Learning – Charged per placement commencement, with a scaled rate. Please refer to your agreement for the specific pricing structure that applies to your account.
- Third‑Party Usage Fees - For services like SCORM content, these are charged per learner or usage and invoiced monthly in arrears.

File Storage Fees (No Longer Applicable)- File storage fees were discontinued in May 2023; you are no longer charged for additional storage.
Previously, accounts included 100 GB of storage, with extra usage invoiced annually.
This is no longer in effect and has been removed from all billing models.
Why This Matters
- Choose the right licence tier and billing model to align with your training delivery and avoid unexpected costs.
- Understand invoice breakdowns, billing timing, and usage thresholds.
- Track your usage to avoid bill shock.
- Identify opportunities for smoother budgeting or scaling.
Third-Party usage fees
Some of aXcelerate's features are powered via third-party plugins, and their usage attracts an additional licence fee. For example, aXcelerate leverages Rustici's SCORM Engine, which is currently the only billable third-party plugin.
SCORM usage is charged per unique contact commencement. SCORM usage is calculated as follows:
- SCORM enrolments with a status of Commenced or greater count towards the fee - a Booked status does not count.
- Cancelling a Booked student will prevent a SCORM fee from being incurred. Cancelling a Commenced student will NOT prevent the SCORM fee.
- A student with Multiple SCORM enrolments will still only be billed once (similar to how Long Course Learners are calculated).
The SCORM usage charge functions in a similar fashion to the way Long Course Learners are calculated:
- SCORM commencements reset at the beginning of your billing period. So if a Learner launches the same SCORM package in two separate billing periods, they will attract the fee twice.
- If a Learner is enrolled in 3 different SCORM packages in the same billing period but doesn't attempt any of them, you will not be charged for their enrolment.
- However, if the Learner commences one of those 3 SCORM packages, you will be charged for their enrolment. If the Learner commences any further SCORM packages within that billing period, you will not be charged again.
Payment Methods
You can pay your aXcelerate fees via Direct Debit or Credit Card. To setup your automated payment method, please contact our Customer Support team.
Automated payments attract the following additional fees to cover the cost of processing the payment. The payment processing fees vary depending on the payment method, but are currently:
- Direct Debit: $0.00
- Visa & Mastercard: 1.30% + $0.30
- American Express: 1.70% + $0.30
- International: 2.90% + $0.30
Tip: aXcelerate bears all fees related to Direct Debit payments - there is no fee charged to you.
Note: Payment will be triggered automatically 15 days after the Invoice Date. You will receive an email notification that this has occurred.
