Presets can be used as a template for the creation of Placements to help reduce the input of information that will be shared across multiple Placements. Presets can have a Host Employer, a Qualification, Dates, Duration, a Schedule and Activities or any sub-set of those details.
Tip: While setting up Presets is not mandatory, they will help to make the creation of Placements more efficient.
Create a Work-based Learning Preset
When a Preset is first created, you will need to specify the Placement details that apply to the Preset. After the Preset has been created you can then also set the Schedule and Activities to be used by the Preset.
- Click New Preset
- Enter the Preset Name
- Enter the relevant Placement details that apply to the Preset
- Click Create Preset
Tip: Other than a Name, there are no mandatory details needed for a Preset. This allows Presets to be quite flexible as they are able to be used for general details that can apply to many Placements, or specific details that will be used for a small portion of Placements.
For example, a preset could be used to create a full-time Monday to Friday schedule, or it could be used to set the specific schedule, qualification, activities for Placements at a particular Host Employer.
Set Work-based Learning Preset Activities
After a Preset has been created and is linked to a Qualification, you can configure the Activities that will be available for Placements created from the Preset. In the Activities tab of the Preset, the Activities linked to the selected Qualification will be displayed with the option to show or hide specific Activities.
- Create a Preset or view an existing Preset
- Click on the Activities tab
- Click on the switches to show or hide specific Activities
Tip: The available Placement Activities will be selectable by Learners when creating Log Book entries in the Learner App to record the work they did on Placement for that day. For more information on Work-based Learning Activities click Here.
Note: You can only set Activities for a Preset if a specific Qualification has been selected. You are not able to add additional Activities that are not linked to the Qualification, only select which ones that have been linked are displayed.
Set a Work-based Learning Preset Schedule
After a Preset has been created, a Schedule can be set that will apply to any Placements created with this Preset.
- Create a Preset or view an existing Preset
- Click on the Schedule tab
- Enable the days to be included in the Schedule pattern
- Set the Start Time and End Time for each day
Tip: If a Schedule Start and Schedule end date are not set, the length of the Schedule will be determined by the Start and End date of the Placement.
Note: If a Host Employer has not been set in the Preset, the Address of scheduled events will use the default address of the Placement Host Employer. If multiple host employers have been set, a specific Schedule can be set for both employers.
Update a Work-based Learning Preset
- View an existing Preset
- Click the Edit button next to the Preset Details
- Adjust the details of the Preset as needed
- Click Update Preset
Note: If a Qualification or Host Employer has been set within the Preset they will not be able to be changed.
Use a Preset to Create a Placement
Once a Preset has been created, it can be used to create Placements when viewing the Preset or from the Placements tab.
- View an existing Preset
- Click Use Preset
- Select the Contact to be enrolled
- Fill out any required information for the Placement not filled out by the Preset
- Click Create
Note: If a Preset is created with a Schedule but no Host Employers set and is then applied to a placement with multiple Host Employers that have overlapping dates, events will be scheduled at the same time for both employers for the overlapping period. However, the Schedule can be updated for each employer after the placement has been created.
