A Host Employer is an organisation that hosts students undertaking Work-based Learning. Host Employers will have Supervisor users that are able to mark attendance and review Logbook Entries from the desktop and via the aXcelerate App.
Tip: Logbook Entries can also be signed off via the Learner App if the 'Allow Supervisors to sign off log entries in the Learner App' is enabled in the 'Learner Portal & App Settings' section of the System Settings.
Create a Host Employer
You can select an existing Organisation to be a host employer or create a new organisation from the Work-based Learning Area.
- Click on the Host Employers tab of the Work-based Learning area
- Click New Host Employer
- Search for an Organisation that exists in the system or enter the name of a new one and click Add as a new Organisation
- Enter the contact and address information of the Host Employer
- Add a profile image
- Click Create Host Employer
Tip: You can also create an organisation as a Host Employer from the Organisation view page.
Note: A Primary Supervisor must be set against the Host Employer before Placements can be created using this Employer.
Set a Default Supervisor User Role
If a Default Supervisor User Role has been set, you will be given the option to create contacts as the default Supervisor role when they are created as a Supervisor and are not currently a user. User Roles are created from the System Users area and then defined as Default User Roles in the Additional Options tab of the System Settings.
Manage Host Employer Supervisors
Supervisors can be assigned to Host Employers and are able to mark the attendance of students and approve logbook entries on the web or via the aXcelerate App. If a Default Supervisor User Role has been set, you will be given the option to create contacts as the default Supervisor role when they are created as a Supervisor. Supervisors must be created as an Admin, Trainer or Supervisor user to be able to log in to the aXcelerate App.
- Click on the Host Employers tab of the Work-based Learning area
- View a Host Employer Profile
- Search for a contact assigned to this organisation to Add as a Supervisor or Click New to add a new contact
Tip: Clicking the star icon next to Supervisors in a Host Employer will assign them as the Primary Supervisor. The Primary Supervisor will be assigned to any placements created for this Host Employer by default. Clicking the X icon will remove the Supervisor from the Host Employer and any Placements they have been assigned to.
Note: Contacts must be linked to the Host Employer Organisation to be added as a Supervisor. Adding a new Supervisor Contact from the Host Employer profile will automatically assign them to the Host Employer Organisation.
Add Host Employer Notes
Notes can be added to a Host Employer Profile to record information about the Organisation or attach relevant files.
- Click on the Host Employers tab of the Work-based Learning area
- View a Host Employer Profile
- Click the New button in the Host Employer Notes area
- Enter the content of your note
- Select a Note Type
- Attach any files you would like to include
- Click Save Note
Tip: Note Types can be created in the system by going to Note Types in the Settings menu.
View Work Placements of a Host Employer
Once a Host Employer has been created and has had Placements created and assigned to it, you can view all Placements for this Host Employer by going to the Placements tab and selecting the Host Employer as a Filter in the primary list.
Tip: You can also run the Work Placements report and filter by a specific Host Employer to achieve a similar result.
Set Host Employer Additional Information
The Additional Information field available for Host Employers is to basically add any other details about the employer that aren't captured within the available fields. This information can be pulled into templates using the 'Host Employer Additional Information' field and is useful for generating documents to send to Host Employers and Learners.
Tip: The Additional Information field editor supports advanced styling options to give more layout flexibility for showing the content in templates.
Note: Supervisors and Learners will not see this information unless it is sent to them via a template.
