The National Centre for Vocational Education Research (NCVER) is the national professional body responsible for collecting and managing statistics on the Australian vocational education and training (VET) sector. aXcelerate is able to integrate with NCVER's AVETMISS Validation Software (AVS) to allow your AVETMISS data to be uploaded and validated directly to your NCVER account through the aXcelerate system.
Reports
Tip: Users will need to have the Compliance Reporting permission and Administrator role type to be able to access this area of the system.
Note: To be able to connect your aXcelerate account to NCVER's AVETMISS validation service, you will need to have an NCVER account. You can register and sign in from the NCVER website.
Enable the NCVER Integration
The integration can be enabled by going to the NCVER Validation page before the integration has been enabled or by going directly to the Web & Other Integrations tab of your system settings. You will need to be able to log into your NCVER account to enable the integration.
- Go to the Web & Other Integrations tab of your system settings
- Scroll to the NCVER API Integration section
- Click Connect
- Click Generate User Code
- Copy your User Code
- Click Open the NCVER Portal
- Login to the NCVER Portal
- Paste your User Code into the OAuth Token Activation form and click Submit
- Wait for the token to be authorised in aXcelerate
- Click Test Connection to ensure that your account has been correctly linked
Tip: After the NCVER token has been authorised, you can click the test connection button to ensure that your account has been correctly linked to NCVER.
Note: AVS only allows one active authentification token at a time per account. If your NCVER account is linked to another aXcelerate account, you will need to revoke the tokens in your account before you can enable the integration.
Warning: After opening the NCVER Portal, aXcelerate will wait for the User Code to be entered and the connection to be validated. Do not close the modal until you have validated the connection and a success message appears.
Remove NCVER API token
Once you have enabled the NCVER integration in your account, you will be able to remove the API token by clicking the Delete icon in the NCVER API Integration of your System Settings. This action may need to be performed if you have set an expiry date for the NCVER authentication token or if you need to link your aXcelerate account to a different NCVER account.
Validate an NCVER Collection
The aXcelerate AVETMISS reporting tool can upload the data for the selected collection to NCVER. This can be done by setting the Validation Type to Upload to NCVER. After the report has been run you will be able to view the results of the report and show any records related to warnings or errors in your report data.
Reports
- Set the Validation Type to Upload to NCVER
- Select your NCVER Collection
- Click Run AVETMISS Report
- Set any Optional Flags and Optional Checks as required
- Click Validate
Tip: You may also make use of aXcelerate's prevalidation tool before uploading to NCVER by setting the Validation Type to aXcelerate AND Upload to NCVER. This may help catch any additional errors and warnings before uploading to NCVER. If this option is selected, you will need to click Upload to NCVER after the aXcelerate validation has been completed. Please refer to our AVETMISS Reporting help article for further information on running AVETMISS reports in aXcelerate.
Note: Your reporting format should be set to National (NCVER) and you should not report the NAT00030A file, as this does not apply to NCVER-formatted submissions.
Warning: If any of the submitted NAT files are in an Invalid Format, the validation process will not run. The validation process will only run if all files are in a valid format. You may need to alter the filters on the report to correctly validate your data.
View NCVER Collection Validation Results
The NCVER Validation option in the Reports menu will direct you to a page to view all collections available in your account. Clicking the View icon next to a collection will show the details of the collection and the results of the report. From here you will be able to view errors and warnings in the data, download the submitted NAT files or Re-run the report.
Tip: Click the the number in the Warnings or Errors column to view the relevant records related to the selected NAT file. Warnings indicate that there may be an issue with the information but will not prevent your data from being validated.
Note: Updating the record linked to an error will not cause the validation process to run. You will need to re-run validation after making changes to the record.
Fixing NCVER Validation Errors and warnings
When viewing the validation results for a collection, you will be able to see the number of errors and warnings detected in each NAT file. Clicking on this number will show the relevant errors and warnings related to the selected NAT file and the associated records.
- View an AVETMISS Collection with uploaded data
- Click on the number of Errors or Warnings
- Expand a particular Error or Warning
- Click the View icon
Tip: Some errors and warnings may be related to multiple records in the system. In this situation, multiple enrolment or contact records will appear after clicking the View icon.
Note: After locating the aXcelerate record with invalid data and correcting the information related to the enrolment record, you will need to re-run the report to submit the updated data.
Re-run report for an NCVER Collection
If data has been uploaded to an AVETMISS Collection that contains errors or format issues, the report can be submitted again after attempting to rectify the invalid data.
- View an AVETMISS Collection with uploaded data
- Click Re-run Report
Note: You will need to re-run the report after making changes to any records related to the collection to update the data submitted to NCVER.
Download NAT Files
When viewing an AVETMISS Collection with uploaded data, you are able to download the uploaded NAT files associated with the collection period. This will download the submitted data in a zip file within your browser. This may be useful for manually viewing particular files and data or manually uploading data to NCVER.
- View an AVETMISS Collection with uploaded data
- Click Download NAT FIles
Finalise NCVER Submission
An NCVER submission cannot be finalised outside of the NCVER portal. After your AVETMISS collection has been reported and validated, you will need to login to the NCVER portal, view the submitted collection and click Finalise submission.
- Report your AVETMISS Collection and Upload to NCVER
- Fix any enrolment records with errors and re-run your report until it has been validated
- Login to the NCVER Portal
- View the submitted Collection
- Click Finalise Submission
Note: Your AVETMISS reporting will not be fully completed until the collection has been Finalised in the NCVER portal.
FAQs
Can I upload state formatted AVETMISS files for AVS validation, e.g. NSW Smart & Skilled, VIC SVTS?
While it is technically possible to upload all kinds of AVETMISS data via the NCVER integration, it is ultimately only designed to handle National (NAT) formatted submissions. For this reason we recommend using our General AVETMISS Reporting tool for generation of state formatted AVETMISS submissions.
