Improvements

AX-4142 - There has been a major improvement to the way dates are handled when booking into a class (type p) via our /course/enrol and /course/enrolMultiple APIs.

Previously, when enrolling into a class where units are scheduled at various intervals, all student unit dates were set to the same start/end date of the first class unit. This issue was worse when passing the parameter BookOnDefaultWorkshops=false. In this case, the unit dates were all being set to the current date.

The API will now behave the same as enrolling via the administration portal. This includes 3 new parameters which correspond to the admin checkboxes and alters the behaviour of the enrolment:

• bookOnDefaultWorkshops - Existing parameter. If true (default) will enrol the student into workshops linked to the class units. Will only work if each unit has at most one workshop available in the class setup.

• syncDatesWithWorkshop - New parameter. If true (default) will set unit start/end dates to be the same as linked workshop start/end dates. This is normally the desired behaviour when enrolling into these types of classes, but the parameter exists to give developers the option. Only has an effect if bookOnDefaultWorkshops is also true.

• syncWithClassSchedule - New parameter. If true, you should also pass a DateCommenced parameter. It will use that as an offset from the class start date to then set the rest of the units and enrolment dates. For example, if the class starts at the first of the year and you pass a DateCommenced of February 1st, it will offset all dates by 31 days. The default value is false, in which case the dates will all be the same as the class dates. This will have no effect if a DateCommenced parameter is not passed.

• DateCompletionExpected - New date parameter to set as the expected completion date of the enrolment and will also set all of the unit proposed end dates. This is ignored if any of the sync parameters above are true.

AX-6135 - Assessors can now be updated in bulk for Online Assessment enrolments.

AX-6162 - A 'view responses' link has been added to the Online Assessments result screen

AX-6830 - We have updated the WYSIWYG editor for the short description and outline for E-Learning to be consistent with that used for similar fields for qualifications and workshops.

AX-6880 - We have now added a "weekly schedule rate" option when bulk scheduling student activities. This schedule rate was previously set to 1, meaning users hand to bulk schedule an activity for every week. Users can now set a number to alternate weeks when scheduling.

AX-6881 - We have now added custom fields to Student Activities.

AX-6915 - A new Override mode is available in the Assessment Engine, to allow minor edits of published assessments.

AX-6925 - Students are now able to change their answers in Online Assessments (when item attempts are equal to 1) prior to submitting the attempt

AX-6926 - The "Answered" indicator in Online Assessments has been changed from green to black

AX-6959 - If a Student fails an Online Assessment attempt and they have attempts remaining; they will be shown the number of attempts remaining and encouraged to try again.

AX-6961 - A "retry" button will now appear on the Online Assessment (auto-marking) results page when the attempt was failed and there are attempts remaining.

AX-6965 - The Item Status in Online Assessments has been moved to the bottom of the card.

AX-6968 - Online Assessment Enrolments can now have multiple assessors assigned regardless of the number of assessors at the time of enrolment.

AX-7014 - The interface has been improved for PPD/CPD plans.

AX-7027 - Saving Assessment Questions/Items in the Authoring UI will now also save the entire assessment.

AX-7030 - View and Add Enrolment buttons have been added to the Assessment Details View

AX-7024 - Searching by OptionalID in the contacts/search endpoint via the API will now perform an exact match search, similar to ContactID.

 

Bug Fixes

AX-6089 -  Fixed an issue where out-of-scope class units were not being cleaned up after transferring or deleting the last unit enrolment in that class.

AX-6423 - Course/Instances and course/instance/search have been updated to use the active state at the instance level when filtering with isActive, rather than the type level.

AX-6779 - An issue with the alignments of pagination controls (in Internet Explorer) has been fixed

AX-6854 -  The template batch notification has been updated to inform users about where any errors appear

AX-6870 -  We have fixed an issue where E-Learning dates were not correctly synchronising when withdrawing students from linked units.

We have also improved the bulk cancel linked E-Learning feature. Previously, bulk cancelling E-Learning and Online Assessments deleted these records. Now, the system will add a cancelled status. This makes restoring a cancelled enrolment much easier. Online Assessments can be restored by doing so on the view learner record page. For other E-Learning, simply update them to add a "Booked" status.

AX-6872 - An issue has been fixed in the training.gov.au interface.
aXcelerate will now discover and import all Elements & Performance Criteria for these units

AX-6884 - Fixed an issue where clients on IPv6 networks were unable to use the Trainer App.

AX-6906 - Validation for the /course/enrolments endpoint has been updated. The lasUpdated_min & max params must be used together and may only be 90 days apart.

AX-6930 - Fixed an issue where users with specific user management permissions (Student, Agent, Contact) were unable to edit or add users from the contact view page.

AX-6948 - Altered the process flow when converting in-house quotations to assist users with setting up linked classes.

AX-6952 - Fixed an issue where overridden complex date locations were not being displayed correctly in the calendar.

AX-6958 - Students will no longer be able to change a correct submission in an assessment when "training mode" is on.

AX-6975 - Corrected an issue where delivery modes and discounts would not be copied when duplicating a class.

AX-6982 - The student enrolment page has been improved so when you change a status to commenced or completed, the relevant date field will auto-fill with a value determined by the activity start/end dates of the unit enrolments.

AX-6983 - Fixed an issue where sometimes the Moodle student gradebook view was displaying a passed result incorrectly.

AX-6992 - Some minor animation issues with dropdowns have been resolved in the Assessment Engine.

AX-7011 - An issue has been resolved with bulk enrolling for assessments where the student did not have a valid email address

AX-7012 - Fixed an issue where workshop venue validation was not being skipped when desired when duplicating a workshop.

AX-7034 - An issue with using the Gap Text / Fill in the Blank question type, in tables and/or other HTML elements has been fixed.

Improvements

AX-6416 - The discounts feature has two new features to greatly enhance its capabilities. There is now a Total Cap field with the following field hint: "If you add a value to this field, the discount will stop working when the total usage of this discount equates to a combined saving equal to this cap amount. E.g. A $10 discount will stop after 5 uses if the Total Cap is set to $50.00. This will be particularly useful with voucher discounts." A report is also available for discount usage where a cap has been put in place.

The second feature is a field that restricts usage to contacts that have a specific email domain field. This provides a simple control measure if you only wish to offer a discount to one particular organisation.

AX-6737 - Added mapping count indicators to the Training Components toolbar in the Assessment Engine Mapping UI.

AX-6801 - Responses to Online Assessments now show the question number in the heading (in the Learner Portal).

AX-6856 - The transactions warehoused report now contains the eWAY Transaction reference code as a display field and filter. This will facilitate a much easier process to reconcile your eWAY statement if you have this integration.

AX-6889 - We have made a performance improvement to allow certificate icons to appear for all workshops. Previously, these icons would only appear if there were fewer than 100 students.

AX-6912 - We have improved the online assessment duplication done when duplicating classes.

AX-6920 - Clients can now process/check an individual Canvas Enrolment for a Completion.

AX-6921 - Sections in the Assessment Engine Authoring UI will only be displayed when there is more than one.

AX-6922 - The warning message when deleting a section in an Assessment now also indicates that this will delete any items within the section as well.

AX-6935 - The trainer competencies report now filters out inactive trainers by default

AX-6944 - All assessment questions will now default to having an Unsatisfactory / Satisfactory Rating Scale.

AX-6485 - Finance reports with Transaction data now show the date/time that a transaction was applied to the related record.

AX-6943 - The Content Editor in the Assessment Engine has been updated to have new styles and functionality.

 

Bug Fixes

AX-6661 - Running saved reports in the report builder will no longer set fields back to the default order if you do not open the display fields component before you run the report.

AX-6850 - Resolved an issue with the Review Mapping Screen when loading an Assessment Plan with no mappings to review.

AX-6871 - We have restored the matrix cell colours in the class export to PDF and Excel views. We have also fixed an issue where the class matrix PDF export was no longer exporting in landscape mode.

AX-6873 - Templates with payment plan details now order the instalments better when some payments have already been invoiced. If an invoice due date exists, this will take precedence over the scheduled instalment date

AX-6878 - Corrected an issue that failed to display the Default School Type against enrolments where an Organisation with a school type had previously been selected.

AX-6893 - Resolved an issue with the Duplicate Contact message on Contact View in the New UI in accounts with no contact photos enabled.

AX-6894 - Fixed an issue where clients could inadvertently merge an admin user into a student user. The system will force you to choose the admin user in this case. Two or more admin user accounts cannot be merged. Further, users will not be able to merge their own contact record.

Fixed an issue when adding a user account for a contact with a preferred name where the automatically generated username contained spaces and double-quotes.

AX-6916 - A colouring issue with the priority column in the "User Tasks" Dashboard Widget has been resolved.

AX-6933 - The contact search has been improved so you can hit the enter key to submit your search regardless of which search method you are using.

AX-6941 - Hitting the Next Question button in Online Assessment Quizzes will now take Students to the next unanswered question

AX-6973 - Resolved an issue where multiple enrolments into Programs/Qualifications with discounts would sometimes result in invoice line items not being created.

Improvements

AX-2831 - Accredited enrolments have been improved to automatically select a payer contact from a parent organisation if the student's organisation does not have specified a payer.

AX-6350 - There are new reports titled "Complex Date Bookings report" that combine data from student enrolments and complex dates. These reports include the room, trainer and attendance of every student in any workshop with complex dates. Note that the live report only reports on Attendance for the current day and the Warehoused report contains additional fields and filters including custom fields.

AX-6585 - When adding a new assessment, the creation tools now appear on the left-hand side of the screen (in the SidePanel).

AX-6686 - We have reintroduced the ability to duplicate a question/item in New Assessment Engine Authoring UI.

AX-6814 - We have greatly increased the speed of drilling into a Qualification on the Assessment Engine Mapping UI.

AX-6691 - The Class Enrolments warehoused report now includes both view and filter columns for portfolio documents and checklists. The document column will be a status to indicate whether the student has a portfolio item of this type, if they have an item with a file, or if their only item of this type is expired. The checklist column will be a percentage of how complete that checklist is by that student. The percentage will either be based on direct numbers of the un-expired portfolio documents within it or based on points if the checklist is using the points required field.

AX-6825 - We have improved the colours used in the Class Matrix "Assessments" view.

AX-6900 - We have updated the class matrix saved views feature to allow users to select enrolment-level custom fields to display on the class matrix.

AX-6829 - We have reinstated the File Usage stat under System Settings > Account Statistics. This will give the approximate file storage for clients in S3. This stat is approximate and only updated weekly.

 

Bug Fixes

AX-5595 - An issue has been fixed with Unit Level Resources not displaying against the relevant Unit in the Learner Portal (unit display)

AX-6432 -  Nursing Qualifications which appeared (by default) in the Qualification Title drop-down list (when adding a Past Qualification in the Learner Portal), have been removed.

AX-6720 - An issue was resolved where the page title would sometimes appear when printing attendance.

AX-6729 - Trainer reminders now have the date/time correctly formatted to the Australian format.

AX-6755 - In issue was resolved with setting up the room correctly for a duplicated workshop.

AX-6768 - When withdrawing a student from a unit, the cancel related Online Assessments will only include those enrolments where there have been no submissions.

AX-6774 - Improved the merge contact feature so that non-blank addresses were selected initially. A blank address cannot be selected when merging.

AX-6788 - The fields Eligibility Exemption indicator, VET FEE-HELP Indicator, and ANZSIC Industry Code will now only appear for Victorian class enrolments.

AX-6791 - We resolved a rendering issue with gap text in lists in the New Assessment Engine Authoring UI.

AX-6819 - An issue causing incorrect Assessment Item ordering in the Assessment Engine Task Mapping UI has been resolved.

AX-6840 - An issue was resolved that disabled the print labels button on the Workshop View page.

AX-6847 - An issue has been resolved where if you duplicate a student activity and there is a timetable clash, the duplication now works correctly and doesn't update the original activity.

Improvements

AX-5609 - Improved support for the new AVETMISS Outcome 85 (Not Yet Started) as a default for future dated enrolments. Relevant State Classes will now use this as their default outcome for enrolments.

A State based default "interim" outcome has also been implemented, and will be used as a default when enrolling into units scheduled before the current date.

AX-5834 - A new field "Competency Achieved Log Date UTC" has been added to the Unit Enrolments - Warehoused report. This is a commonly requested field and it also can be used as a filter. The field hint reads as follows: "This is the UTC timestamp that the Competency Outcome field was changed to Competent or an equivalent value. If this change happened more than once, it is the timestamp of the most recent change."

AX-6086 - The Learner Portal will now show Legacy Assessments in an "Standard Assessments" tab, if they are being used with the Assessment Engine.

AX-6611 - We have implemented a new "Last Updated" field for Qualifications, Units, Workshop Types, Workshops, Classes and Class Enrolments. Any updates that happen after this release, users will be able to see who last updated these items and when on the top of the relevant update forms.

AX-6654 - When transferring students from one class to another, users can now choose to also transfer the certificate records into the new enrolment. In order to transfer the certificate records, the new class must have the same qualification code as that of the original class at the time the certificate was issued.

AX-6763 - Units and elements are now ordered better in the assessment mapping UI.

AX-6786 - Some UI issues and inconsistencies have been resolved in the SCORM/Tincan 'Register Contact' feature.

AX-6793 - Saving organisations has been improved so when you set the Employer or Payer contact as a contact from a parent organisation, that contact will still be linked to the parent organisation. 

AX-6815 - Field hints have been added to some AVETMISS fields on the add/update contact page to indicate the official AVETMISS field name and what the recommended wording is for a student facing enrolment form. This may be helpful when creating a student record over the phone.

AX-6066 - New fields have been created in the Accredited Warehoused reports so that attendance results can be calculated as a subset of complex dates between the activity Start/End Date of a unit enrolment.

 

Bug Fixes

AX-6659 - Resolved an alignment issue with the trainer availability table in the Legacy Calendar UI, where the header was not synced with the table itself.

AX-6663 - An issue was resolved where class discounts were not being offered for classes with multiple timetables.

AX-6673 - The "Invoice Items - Warehoused" report now shows first transaction information even if the transactions are not finalised and exported.

AX-6704 - An issue was resolved in the templates area that was preventing users from deleting an unwanted template.

AX-6713 - Fixed an issue where package rules were not correctly counting elective units if that unit was part of another qualification.

AX-6715 - We will now prevent selection of the invoice option when enrolling into a workshop if the cost is $0.

AX-6721 - Removed unintended functionality from the workflow edit category interface by improving the interface.

AX-6724 - An issue was resolved in the timetabling feature where the workshops being created were not of the type that was selected at the timetable setup page. 

AX-6732 - Fixed a rare issue where invoices were not being created via the workflow system when administrators were issuing invoices at the same moment.

AX-6758 - Fixed an issue in online assessments where the status of the assessment on the student enrolment page did not always reflect the same status of that displayed on the class matrix assessments view.

AX-6800 - An issue has been fixed with retrieving Canvas Assignment Group results, for Learning Activities where the Enrolment count is greater than 200

AX-6818 - Fixed an issue where the class matrix export to Excel was not output correctly for classes where students had out of scope units.

AX-6823 -  Fixed an issue where exporting the class matrix as a PDF was not including the .pdf file extension in the exported file.

AX-6861 - An issue with the Redirect On Exit URL has been fixed in the SCORM Engine

AX-6417 - Additional fields have been added to the template builder. This includes some AVETMISS student information and the enrolment study reason.

AX-6677 - The Online Assessments feature in the Learner Portal has been updated to have a more user-friendly interface.

AX-6746 - The following improvements have been made to class matrix custom views.

• We have added contact level fields to the class matrix view options.
• The class matrix portfolio view will include a link to add a portfolio item for students who do not yet have an item of that type.

AX-6639 -  We have added the new status NYS to our eLearning automatic completion updating.

AX-6620 - The issue has been resolved that was preventing the "Workshop Attendance for Class Enrollees" report running if certain fields were added.

AX-6629 - An Online Assessment issue with students being allowed to enter commas into Gap Text answers, has been fixed. 

AX-6633 - An Online Assessment UI issue has been fixed where if you had a long overview/description in an assessment, this would not align correctly. 

AX-6640 - An issue was resolved that was preventing a unit being removed from a qualification due to a javascript error.

AX-6642 - A CSS issue was resolved where email icons were not appearing correctly.

AX-6645 - An Online Assessment issue was resolved where students were able to launch assessments from the home page before the access start date.

AX-6655 - The option to alter a payment gateway password no longer requires reselecting a payment gateway.

AX-6666 - We have fixed an issue where floating point error was very rarely causing error 7317 to incorrectly appear when validating the VSL student report.

AX-6699 - When adding E-Learning or Online Assessments to a class, the option to enrol existing students into the new activity will only include in-progress students that have non-final unit enrolments outcomes against the linked units.

AX-6716 - Fixed an issue where javascript errors were preventing timetabling for clients with no equipment set up.

AX-6722 - Duplicating classes has been improved so that if you do not wish to copy the timetable schedule of the original class, this timetable pattern will not be associated at all with the new class.

AX-6725 - An issue has been resolved in the timetable interface so the "Overwrite dates" checkbox does not get reset when you save a pattern.

AX-6733 - An issue has been fixed with Date Offsets not being correctly set for Assessments when being used with an Accredited Workshop.

AX-6739 - An issue has been fixed in the Online Assessments feature (for QTI based tests); where the passing rate was being ignored.

Improvements

AX-6473 - Improved the contact merge when dealing with online assessment contacts.

AX-6580 - When moving student workshop bookings, users now have the option to "Sync Activity Start/End dates with Workshop Start/End dates". This will update any unit enrolments linked to the workshop enrolment to have the same start and end date as the workshop. It will only affect unit enrolments with a non-final outcome (e.g. CA, NYS, etc.). Also, if selected, the enrolment commencement and expected completion dates will be updated to sync with the earliest and latest unit start/end dates.

AX-6682 - An updated UI for Mapping and Authoring of Assessments in the Assessment Engine has been made available. For the moment it is available alongside the existing UI, as some functionality has had minor changes.

As part of the update, the following new features are available:

Assessment Engine Performance:

• Searching, Scrolling and general performance of the UI has been improved.

Improved assessment filtering and searching.

• You can now search for assessments by author, name, description, and even section or item.
• Assessments can be filtered by creation date, assessors, and status
• Searching is now fuzzy - meaning that the search text does not need to exactly match
• Filters will now persist - allowing easy combinations of filters with search

Improved Qualification Searching

• Searching is now fuzzy - meaning that the search text does not need to exactly match
• All Qualifications can now be displayed in addition to just those within your account

Assessment and Component Cards:

• Cards have been improved to display more information, allowing easier identification of specific Assessments
• Assessment Items will now display the question description, rather than just the question name 

AX-6582 - There have been a few major features added for the Class Matrix

• A new view, "Portfolio Checklist" has been added to view contact portfolio items by checklist for contacts in a class. Checklists can be defined in your system settings.
• Further, users can now select up to 10 additional columns to view on the class matrix. These columns include most enrolment level data available in the Class Enrolment report.
• And finally, views can now be saved at a system level, enable administrators to create common class matrix views for quick switching. To set these up, go to the RTO tab under the system settings and click on "Manage Saved Views"

AX-6059 - Assessments can now be printed (student & assessor versions). This functionality can be seen from the Assessment Overview Page.  

AX-6600 - Trainer permission checking has been improved when editing unit enrolments.

AX-6576 - Marking Criteria and Observation Checklists now allow either a text response or file upload (via the Learner Portal)

AX-6610 - Payment Plans in templates have been improved to show all payment plan items and also additional totals relating to how much has already been invoiced and paid. This is useful for Enrolment Revision letters.

 

Bug Fixes

AX-6201 - An issue was resolved where having a single quote in the venue city name was preventing the print attendance form from functioning properly.

AX-6280 - An issue was fixed in the Goals/Quality Register where some dates were switching the day and month numbers.

AX-6515 - An issue was resolved where timetabled workshop venues were not being correctly set up until a user landed on the workshop view page.

AX-6527 - We have updated how addresses are handled when merging contacts. Now, instead of merging individual address fields, users will select an entire address to keep in the merged contact.

AX-6529 - An issue with Dot-Points not displaying correctly in Online Assessments has now been resolved.

AX-6530 - A bug was fixed with reloading an assessment response, when the back button is used to re-open an assessment.

AX-6551 - The Qualification Duration template field will now include both the start and end dates as part of it's calculation. 01/M/Y - 03/M/Y will now be 3 days, rather than 2.

AX-6576 - Marking Criteria and Observation Checklists now allow either a text response or file upload (via the Learner Portal)

AX-6578 - An issue has been resolved changing the workshop liked to several units at once where the workshop booking was unexpectedly moved even when the student was supposed to remain in the workshop for other units.

AX-6621 - An issue has been resolved with the assessed by field recording system in some instances where it was assessed by the trainer. 

AX-6622 - Organisation ANZSIC codes are now shown in all reports for a contact if the contact does not have a specific ANZSIC code.

AX-6629 -  An issue with students being allowed to enter commas in to Gap Text answers, has been fixed.

AX-6637 - An issue has been resolved were not all assessment details were being copied when duplicating an assessment task. 

 AX-6656 - An issue has been resolved with Students being able to submit against another Student's assessment (legacy assessments only) when the link was shared.

AX-6674 - An issue has been resolved with searching in the assessment mapping interface. 

AX-6719 -  An issue has been resolved with RPL assessment types not displaying student submissions.

AX-6630 - We have improved the performance of initially loading the send template page by having the system check the existence of resource files asynchronously only when selected by the user.

Suggestion from the Ideas Forum

AX-3270 - We have added a new feature to make the process of fully withdrawing students in accredited training much easier. When withdrawing a student (or students) from units, if the system detects related enrolments in workshops, e-learning, online assessments, or student activities, it will prompt the user with an option to automatically cancel and remove these linked enrolments as well. Users will be able to view and edit the enrolments that the system plans to cancel before submitting. These linked enrolments will only be considered if the student's current status is not final and the activity is scheduled for the future. Activities linked to current units that aren't being withdrawn will also not be considered.

Bug Fixes

AX-6566 - An issue was resolved where enrolling multiple students into workshops with extra booking items was only correctly adding and linking the items for the first student.

AX-6430 - An issue has been resolved with embedding videos in assessments.

AX-6513 - An issue has been resolved that prevented some payment plans being activated with percentage based rules where several rules are fixed to 2 decimal values.

AX-6539 - An issue has been resolved in the report builder so values in custom date fields do not flip the day/month when the day of the month <= 12.

AX-6635 - Fixed an issue where bulk updating files for contacts was occasionally failing.

Improvements

AX-6270 - The following improvements have been made to the Trainer Competency Matrix.

• Review dates will now take portfolio document expiry into account.
• Start date is no longer a mandatory field for qualification type portfolio items.
• Users can now delete uploaded files in the trainer matrix evidence log area.
• Reviewing TAE evidence in the evidence matrix area will no longer take you to a new section.

AX-6275 - A new transition was added for trainer competency matrix so that administrators can archive evidence while it is in a pending or requires review state.

AX-6503 - Performance of the Accredited E-Learning report has been improved.

AX-6286 - The enrolment API can now support the case of a 100% discount. The enrolment status page now lists details of any tuition items where a discount has been applied in the finance section.

AX-6571 - The VET In Schools field has been added to classes; checking this field will default the value for enrolments in the class (unless overridden). 

AX-5292 - Accredited enrolments have been improved so you can now select a payer from a parent organisation for the employer payment contribution field. You will not be able to select a payer from the students organisation hierarchy tree as the "other" contributor.

AX-6211 - Class Timetable overriding Schedule - 

1. See when timetabling for a class that there is a new checkbox underneath the units "Overwrite scheduled unit start/end dates to match timetable"
2. Verify this only shows if at least one unit is chosen on the previous page
3. Verify it only shows when timetabling group 1.
4. Create a new class and timetable without selecting this box.
5. After timetabling any unit, verify that the dates in timetable simple view have been set to the first and last complex date in the timetable. (this is the rule stated in the last line of the help info)
6. Now create another class and set the dates for each unit in Simple view first.
7. When timetabling, test with the box ticked to verify dates change
8. Test not ticked and verify the simple view dates are the same.
9. Where unit dates are not changed, there should be a new information icon showing that the timetable dates are different from the simple view dates

AX-5950 - An issue with multi-row template fields relating to student activities has been resolved.

AX-6428 - An issue has been resolved where students being booking into a $0 course with extra items were not getting an invoice generated via the admin portal or the API.

API change: The course/enrol endpoint will now return the amount of the booking including extra items. Also booking into a $0 course with required extra items will generate an invoice for those items for the student, when previously it did not.

AX-6434 - The finance model rules have been improved on the manual invoicing page. If the finance model is per hour or per unit, the unit will not be selectable if it is a credit transfer, has No funding set, or is a withdrawn/not started status with 0 attended hours. Further, if the unit is withdrawn, attended hours will be used to calculate the amounts rather than scheduled or nominal hours.

AX-6468 - An issue has been resolved where the traineeship client identifier field was not saving on initial enrolment - but only on the update.

AX-6494 - An issue has been resolved where plus characters (+) were not working in image filenames. In the future the only characters that will be allowed in uploaded image files are: letters, numbers, spaces, and the following punctuation . ! ( ) * _ - '

AX-6507 - An issue has been resolved in the report builder for payment plan data in the "Class Enrolment - Warehoused" report.

 AX-6545 - An issue has been resolved preventing invalid solutions in authoring multi-choice questions

AX-6548 - An issue has been resolved with legacy Assessment Authoring UI processing text.

AX-5945 -  Contracts and funding sources can now be bulk removed.

AX-5980 -  There is a new feature where clients can add a custom link in the Student Portal. The link will appear for all students in the portal in the top menu next to the home button. To enable this custom link, find the field in the system settings additional options tab.

AX-6174 - The template system now supports workshop details in class templates either as a stand-alone multi-row or within a subject multi-row, including complex date sessions.

AX-6257 - Suggestion from the Ideas Forum: Workshop Custom Fields. Clients can create workshop custom fields from their system settings and add them to any workshop. They will be displayed on the main view page for both admin and trainers. Users can use them as both filters and view columns in relevant warehoused reports, templates, and they are available via the API.

COMPLIANCE AX-6268 - We have added a field against qualifications, VSL Loan Cap, that will help our VET Student Loan clients ensure compliance with VSL legislation. If set, the system will automatically cap deferred amounts to this value, dispersing the amounts logically across all units of study. Deferral amounts that go over this cap will trigger validation errors for that enrolment.

COMPLIANCE AX-6472 -  Outcome Code 61 - Superseded has been made available for S&S classes, in accordance with compliance changes.

AX-6371 - We have added a new API that wraps the USI validation web service. This service will mark a USI as verified against a contact record or return an error message with information on why the USI was not verified.

AX-6489 -  There is a new report for all VET Student Loan providers. This report, Unit of Study Completions - Final Outcomes, will help providers comply with the requirement to report unit of study completion statuses by the 7th of the month following the completion date. The system will use the latest completed subject date as the completion date and only report units of study that are withdrawn (1), failed (2), completed (3) or RPL (5).

AX-6289 - There have been some styling improvements and better clarity to the messages to the public facing USI update page for students, accessible via the template field [Trainee USI URL]

AX-6302 - An updated UI for Authoring of Assessments in the Assessment Engine has been made available. For the moment it is available alongside the existing UI, as some functionality has had minor changes.

AX-6178 - An issue has been resolved in the templates feature where some class related fields were not available in a multi-enrolment template.

AX-6387 - We have a new version of our Moodle plugin (3.2) with a minor change to replace a deprecated constructor for PHP7. The upgrade is not required, however contact support if you would like a copy of the new version.

Improvements

AX-4416 - The "Use Default Values" option on the schedule update form was renamed to "Use Outcome Rules" to better reflect the intention of the option.

AX-5082 - There is a new API parameter available for online enrolments using the course/enrol and course/enrolMultiple endpoints: _ useRegistrationFormDefaults_. If true, the system will apply the default enrolment form values set in the system settings for the new enrolment. Individual values can be overridden at time of enrolment. The default value will be false.

AX-5628 - The full content of student course enquiries submitted via the student portal will now be captured in the note that is added to that student's contact profile.

AX-5929 - There is a new feature to allow users to bulk schedule student activities for a single student enrolment. This will allow the user to specify a week range, a duration, an activity type and the weekly availability of the student. The system will then attempt to schedule within that availability based on the trainer's schedule. Clashes can then be fixed or ignored.

AX-6226 - A label in the labour force status select box has been changed to align with AVETMISS Standards. "Employer" now reads "Self-Employed - Employing Others"

AX-6429 - The /course/enrol API endpoint now has an additional optional parameter that will add workshop type default items to the booking. This is false by default so unless this parameter is used, there is no change in the behaviour.

AX-5821 - Dashboards that have multiple report chart widgets will now load faster.

AX-6404 - Smart and Skilled (NSW) enrolments will now report an 85 status in place of the blank status for subject enrolment that are withdrawn with zero hours attended as per the changes to be implemented this month.

AX-6346 - An issue with Gap Text not working correctly when nested inside other HTML Elements has been fixed in the Assessment Engine.

AX-6348 - The State and Domain filters on the Beta version of the Class List have been fixed.

AX-6358 - The Build on Attempts feature (Assessment Engine) will no-longer require the Assessor to re-score the Short Answer item as passed.

AX-6359 - An issue has been fixed with a "session expired" message which would appear straight after login, when using the New Assessment Rendering Engine on a mobile device.

AX-5730 - The resources reports now contain filters to search on documents by subject, program or workshop type.

AX-5863 - Two expired USI exemption types have been deprecated in the system. These values are still available where set against an existing contact record, but are no longer available to be selected for new students. 

AX-6360 - Added the field Default Duration to the Student Activity Types. If set, it will be used as a default when adding a start time for a student activity of this type.

 

Notes

AX-6256 - For all clients, a new calendar date calculator will appear next to the expected completion date for tentatively enrolled students, allowing administrators to quickly calculate X number of days/weeks/months from the commencement date.

For clients using the ELICOS timetabling feature, when enrolling students and selecting units, the calendar date calculator will allow for quick calculations of the expected completion date. Further, a button will appear to allow administrators to first select start and end dates and then select units to enrol the student into that fall within that date range.

 

Bug Fixes

AX-6158 - An issue has been resolved in the Online Assessments Feature where Internet Explorer could freeze the page when attempting to make a submission for an assessment.

AX-6195 - An issue has been resolved where an error was mistakenly shown on the enrolment status page for a class enrolment if the student missed the first session linked to a unit.

AX-6218 - An issue has been resolved where converting tentative enrolments with ELICOS timetables would cause student payment plan instalments to be removed.

Previously, the viewing and updating of events was covered by the Contact Management permission, therefore, any users or roles with this permission will automatically get these new permissions as part of this release.

AX-6247 - Resources in the learner portal will now open in a new tab/window.

AX-5866 - Fixed an issue where legacy assessments were sometimes not ordering correctly and consistently across various pages and the learner portal.

AX-5904 - For CRICOS providers we now have a PRISMS Payment Details report. This will report student tuition amounts and ranges for an students with a CoE number.

AX-5939 - Individual sales items can now be associated with a workshop booking. Includes items at the workshop type level and all other sales items (with a valid finance code)

AX-5977 - The trainer management area, including the managing of competencies, will now filter by trainer domain. If the trainer is linked to a user in a specific domain, that trainer will not appear in this area for users in a different domain. Trainers not linked to a domain will be treated as members of all domains and continue to appear for all users. This only affects the trainer management area. Selection lists and other areas of the system will continue to show all trainers for all users.

AX-5978 - Clients now have more control over the closing times for online enrolments for public workshops. Users can specify the number of minutes from the start date/time to close the course. The current functionality, of having courses close at midnight on a specific day is still supported. For In-House workshops, a close day of "0" will now have the same meaning as Public Workshops, in that they will close on the start date. Previously, 0 was ignored. Instead, in-house workshops that do not have a close day should be set to "None".

AX-6088 - Moodle User ID has been added to the Contact Details and Unit Enrolments reports (warehoused version only)

AX-6244 - Suggestion from Ideas Forum: The AQTF LE / ES surveys now take advantage of the cached database when running reports for date ranges that do not include the current day to improve performance. The PDF report also now displays the selected date range.

AX-6258 - Duplicating a workshop with linked e-learning activities has been improved so that by default, only the activities linked to the original workshop will be selected.

AX-6127 - Fixed an issue where, on some occasions, updating or creating an automated report row task was not correctly saving the settings for a single-step workflow.

AX-6173 - An issue has been resolved for trainers in the Class Matrix. For big classes where trainers are only assigned to a select number of students, the paging of data in the matrix now works better with fewer pages required.

AX-6176 - The enrolment page has been updated so that if you select an agent, the default rate of the agent will be applied to the enrolment.

AX-6183 - Fixed an issue with online assessments where quizzes that were 100% automatically marked, appeared to have had their score "overridden" by the student - when in fact the score was calculated by the system.

AX-5826 - Finance warnings and errors that normally display only at the bottom of a student's enrolment status page will now display as a more visible warning at the top of the page.

AX-5996 - The new calendar multiple field view now works for Trainer, Equipment and Room weekly views.

AX-6023 - The new calendar now has custom CSS classes that wrap individual events and fields. This will allow custom styling for users who want to use a browser plugin such as StyleBot. 

AX-6074 - You can now specify the number of attempts that a student will get for an auto-marked (e.g. multiple choice) question for an online quiz against the assessment type.

AX-6076 - We have updated the logic behind how CAN Notice Units of Study are generated for VET Student Loans. Previously, the Unit of Study would only appear if the census date was in the past and the end date in the future. Now, the Unit of Study will also appear if census is within the last 28 days - as per section 4.11.4 in the VSL Manual for Providers.

AX-6084 - We have updated our integration with the USI system to use their newly developed Cloud Software Authentication and Authorisation (CAA) solution. The Australian Taxation Office (ATO) has simplified the way systems authenticate and interact with the USI Registry System. Instead of every client generating and saving a device AUSkey into aXcelerate, our device AUSkey will be used to make calls to the USI System on your behalf. To facilitate this, the ATO have developed the RAM platform. Clients will need to generate a Software ID here and then notify the USI Office with that ID to authorise aXcelerate to access the USI Web Services. This notification can be done online - via the new RAM portal and your own AUSKey, or over the phone. This solution is currently in beta trial. If you are interested in participating in the beta trial, please contact aXcelerate support. 

AX-6097 - An improvement has been made to the "Confirm tentative enrolment" feature for ELICOS courses so that the user will be warned if the commencement date is in the past.

AX-4426 - Workshops - Warehoused reports now have an additional trainer filter that will not only search for workshops with the primary trainer, but also any workshops that have additional trainers. This does not include alternative trainers set on complex dates.

AX-5591 - A number of improvements have been made to the Online Assessment marking page, including the ability to freely add notes without needing to submit your marks first. In addition, notes added against assessment items will now default to the "Feedback" type.

You can now preview Online Quiz (QTI) assessments within the Assessment Builder

Users can now add workshops directly from the calendar with the new "Quick Add" button All default parameters will be pulled from the Workshop Type. Linked subjects with E-Learning and Online Assessments will also be created (the linked class state will be set as the system default).

The calendar now includes scheduling clash detection   When adding or updating an event or workshop, the form will colour red any clashing guests, trainers, rooms or equipment based on the date and times selected.

[AX-5578] - When adding an assessment to a class, you now have the option of bulk enrolling students from the class into the assessment, or from the assessment into the class. E-Learning now also has the option of bulk enrolling students from the class into the E-Learning activity.

[AX-5637] - Users can now add workshops directly from the new calendar by selecting the "Quick Add" button. This will add a workshop with all default parameters pulled from the Workshop Type. If creating an accredited workshop linked to specific subjects, it will also set up any default linked accredited subjects, assessments or E-Learning activities. State and delivery location will be set as the system default.

[AX-5637] - Rooms and equipment can now be selected when adding workshops directly via the calendar. This allows for clash detection without need to check the relevant resource views.

[AX-5077] - For our Turbo Clients using the Assessment Engine, you can now add mapped Assessment Tasks to Accredited Workshops.

[AX-5427] - Assessment plans can now include unmapped assessments. The units to link to the assessment are selected when setting up the class. Workshops can also include unmapped assessments. These are linked to all units attached to the accredited workshop type.

 

Improvements

[AX-5357] - The finance system has been updated so that invoices or credit notes marked as VOID will no longer appear by default when you search for these items. You are still able to explicitly search for VOID and non-VOID records in the advanced search.

[AX-5476] - Updated the contact view page to allow users to easily right-click and save note attachments without having to open them in a new window first.

Bug Fixes

[AX-5413] Resolved an issue where merge document attachments with filenames longer than 100 characters were not being handled correctly. Resolved an issue where sending merge documents with CC recipients was incorrectly reporting sending errors on the following report page.

[AX-5492] - An issue has been resolved so manual changes can be made when sending multiple workshop booking confirmations through the legacy booking confirmation system.

[AX-5497] - An issue was resolved for Accredited Workshop Assessments (Turbo) where default dates were not flowing on to the student enrolment page, in a class linked to a workshop.

[AX-4592] - An issue was resolved where some special characters in custom fields were not being rendered correctly in the report builder when exporting to Excel or CSV.

[AX-4683] - An issue has been resolved with legacy assessments that have default date offsets set up and are added to a class with no start/end dates - these were using a base date of 1900-01-01. The start/end date for a legacy assessment is now left blank in this case, and users can also now remove due dates (i.e. this is no longer a mandatory field).

[AX-4685] - An issue has been resolved where invalid date parameters were ignored in the API for course/instance/search. It will now return a 422 validation error if, for example, an invalid date string such as 2018-02-30 were passed.

[AX-5197] - An issue has been resolved when issuing certificates for student on a per hour or per unit finance model, it was reporting the wrong amount outstanding for students still owing tuition fees.

[AX-5291] - The generic error message when trying to merge organisations that have related finance/enrolment data has been improved to identify the organisation that has the related data and notify the user of the issue.

[AX-5310] - An issue has been resolved with the class bulk set outcomes page where students with final but non-competent outcomes were not having their actual end date set.

[AX-5318] - An issue has been resolved so you can now delete an enrolment that is linked to a contract reconciliation if all the reconciliation invoices have been voided.

[AX-5341] - An issue was fixed with the /course/enrol endpoint when using type "EL" and generating an invoice - the Finance Code ID was applied to the invoice item instead of the Finance Code.

[AX-5343] - A minor issue has been resolved where the State/Reporting format version field was sometimes not correctly being pre-filled when running an AVETMISS report for a specific enrolment or class that was in a state different to the client default state.

[AX-5348] - An issue has been resolved where workshops might not appear on the main workshop search by date page if they had been edited via the new calendar.

[AX-5352] - An issue has been resolved where the system generated note regarding a reset password notice was sometimes being assigned to a different contact based on the same email address.

[AX-5360] - An issue has been resolved with filtering an AVETMISS report by multiple contract schedules.

[AX-5362] - An issue was resolved in the Calendar for Workshop & Grouped Workshop Participant counts.

[AX-5419] - An issue was resolved on the Additional Options page, when saving additional settings with Legacy Assessments Off

[AX-5421] - An issue has been resolved that prevented cancelling a student from a workshop if the linked class did not have the state set

[AX-5428] - We have fixed issues and improved the usability of the Learner Portal Feedback form. Students will now see who the feedback will be going to prior to submitting, and only feedback of type "Complaint" will have the option of marking it as a formal complaint.

[AX-5434] - An issue has been resolved that was preventing some legacy finance models being duplicated successfully
