View User Tasks
User tasks can be stored against any system user. Tasks can be viewed in one of three ways: via User Tasks, the My Tasks view and the All User Tasks view.
- Hover over User Tasks
- Click My Tasks or All User Tasks
Tip: Tasks marked as completed will no longer appear on the User Tasks page.
Create User Tasks
User tasks can be created to meet a number of requirements depending on the options selected. Tasks are primarily created from the User Task page but can be generated from other areas of aXcelerate including Quality, Contact Profiles, Marketing and Workshops.
- Hover over User Tasks
- Click New Task
- Enter the Name of the Task
- Select the Task Owner from the dropdown menu
- Select the Status from the dropdown menu
- Select Priority from the dropdown menu
- Search for and select the Task Requester from the dropdown menu
- Select the Due Date on the calendar
- Fill any other necessary fields
- Click Save Task
Additional fields allow you to include further functionality relating to other areas of aXcelerate.
- Click Add Fields
- Click the checkbox for applicable Optional Dynamic Fields
This will allow you to set a date and time to receive a reminder email. Useful for those far off tasks.
This will allow you to display a User Task in the calendar. Useful for increasing tasks visibility.
This will allow you to link a User Task to a Workshop or Workshop Type. Useful for Workshop training related tasks such as session preparation or confirmations of enrolments.
This will allow you to link a User Task to a Class Enrolment, Class or Qualification. Useful for tasks relating to a student or an entire class.
This will allow you to create Opportunities under Marketing. This included the ability to forecast potential revenue across a period of time. Please refer to our Follow-Ups & Opportunities help article for further information.
This will allow you to create Opportunity tasks under Quality. These tasks will be accessible in the Goals / Quality Register. Please refer to our Goals/Quality Register help article for further information.
Tip: Additional Fields can be added to User Tasks to enable further functionality.
Note: Click on the Automation icon next to a user task to view the automations that are linked to this task.
Updating User Tasks
User tasks can be updated to reflect any changes made on the fly. This includes assignees, status, dates, and a range of other components.
- Click Update
- Update the task as required
- Click Save Task
Tip: User Tasks can be marked as completed from the Update page or by clicking Mark as Completed
Deleting User Tasks
User tasks can be deleted from the system. This will remove all traces of the task from the User Task tab.
- Locate the user task you wish to remove
- Click the Delete icon
- Click Ok to confirm deletion
Tip: Once a User Task is deleted it cannot be retrieved.
