Organisations allow you to store details of companies in your aXcelerate system. Contacts are able to be linked to particular organisations that you have created.
Contacts
Create an organisation
- Click Add New Organisation
- Input the Organisation Name
- Fill out any relevant information related to the Organisation
- Click Submit
Note: The Payer, Employer and Key Contacts of the organisation will need to be pre-existing contacts in your system.
Update an organisation
- Input your search term into the Search Bar
- Click the name of the organisation or click the Update icon
- Select the Update tab
- Change the details of the organisation as required
- Click Submit
Tip: Use the Filter Category function to only show organisations of a particular category in your search. Categories can be assigned when creating or updating an organisation.
Activate/deactivate an organisation
Inactive organisations will be hidden from organisation search boxes and organisation reports throughout the system by default.
- Input your search term into the Search Bar
- Click the Pause icon to deactivate (or Play icon to re-activate)
Delete an organisation
Deleting an organisation will remove the organisation from the system as well as remove it from any linked contacts. This action cannot be undone once taken.
- Input your search term into the Search Bar
- Click the Delete icon
- Click Ok when prompted to confirm the deletion
Note: Organisations with linked finance data cannot be deleted.
Add a contact to an organisation
- View a contact's profile
- Select the Update tab
- Fill in the Organisation field of the contact
- Click Submit
Assign a parent organisation
If an organisation is a subsection of a larger company it can have a Parent Organisation assigned to it. The Organisation Tree will display any linked Parent or Child Organisations in hierarchical order.
- Update an Organisation
- Choose the Parent Organisation
- Click Submit
Note: The parent organisation will need to be a pre-existing organisation in the system.
Add organisation contact details
Organisation contact details are used to store address/contact details of various types for particular organisations in your system.
- Update an organisation
- Scroll to the Add New Organisation Contact Details form at the bottom of the page
- Set an Organisation Contact Type
- Enter the address and contact details associated with the organisation
- Click Submit
Note: You are able to make changes to existing organisation contact details by updating the Organisation Contact Details and clicking 'Submit'.
Add an employer contact to an organisation
- Update an organisation
- Search for the Employer contact
- Click Submit
Note: You will need to ensure that a contact has been created in the system before assigning them as an organisation's employer.
Add a payer contact to an organisation
- Update an organisation
- Search for a Payer contact
- Click Submit
Note: You will need to ensure that a contact has been created in the system before assigning them as the payer of an organisation.
Warning: When setting the employer or payer contact for an organisation, aXcelerate requires that the contact you select is part of the organisation hierarchy. I.e. You should not have a payer or employer contact for an organisation if that contact is linked to another organisation outside that hierarchy. Whilst it is possible to create this situation, it should be avoided. An unwanted side-effect of doing this is that invoice under the Employer Contribution on an accredited enrolment may appear under the Other Contribution.
Add key contacts to an organisation
- Update an organisation
- Search for Key Contacts to link to the organisation
- Click Submit
Note: You will need to ensure that contacts have been created in the system before assigning them as a key contact for an organisation.
Merge organisations
The organisation merge function allows to organisations in the system to be combined. The details used for the the newly created organisation are able to be selected from the organisations being combined.
Merging organisations can be useful if a smaller company is purchased by a larger one or for managing duplicates that exist in the system.
- Search for an organisation you would like to merge
- Select the checkbox next to the organisation
- Once you have selected two or more organisations, click Merge
- Select the details you would like to retain in the combined organisation
- Select the Organisation Tree you would like to apply to the merged organisation
- Click Merge Organisations
