The Xero Contact Mapping Tool is used to manage the link between Contacts and Organisations in Xero and aXcelerate.
Tip: A link to the Contact export results can be found on the Organisation details page.
Linking existing Xero contacts to aXcelerate
- Search for the contact in Xero and note down the Contact's Account Number or Contact Number
- Open the Contact Tools tab within the Xero Finance Export area
- Search for the Contact or Organisation that should be linked in aXcelerate
- Next to the linked Contact select Link by Account Number or Link by Contact Number under the Action dropdown
- Type the Xero account number or contact number in the text box to the right of the dropdown
- Click Execute Selected Actions
Tip: If the contact does not have an account number, issue the contact with an account number in Xero. This number can be removed again after the contact has been linked.
Note: Contacts that have already been linked can be unlinked using the Unlink action. Unlinking also removes the Contact Number from Xero.
Issuing a Xero Contact Revision Number
Merging, deleting, or archiving contacts in Xero that are already linked to a contact or organisation in aXcelerate may cause a scenario where the Xero integration reports that a record does not exist (because the contact is archived) but throws an error when attempting to create a new record for the missing contact (because the contact number still exists against the archived contact).
Contact Revisions give the ability to add a Revision Number to the identifier that links Organisations and Contacts to Xero. This allows the identifier to remain unchanged on the aXcelerate side while being unique in Xero.
- Access the Contact Tools tab within the Xero finance export area
- Check the option to Enable contact revisions
- Search for the Contact whose Revision Number needs to be increased
- Select the action New Revision next to the contact for whom you wish to increase the revision number
- Click Execute Selected Actions
Tip: The contact has now been issued with a new revision number and can be relinked to Xero. The contact ID will still be specific to Xero.
