Agent Commissions allow you to manage and track the commissions that are made and owed to the Agent within your system. From the Agent Commissions page you will be able to search for unassigned commissions and have the option to filter by which Agent you wish to view, the Invoice Date and/or the Service Date. This information can then be compiled into a CSV file for you to download.
Tip: For this part of the system to function correctly, Agents must first be created in the system. Please refer to our Agent Management help article for further information on configuring Agents in your system and running Reports on Agent data.
Note: Marking the commission as paid is for recording purposes only, the actual payment needs to be conducted via your finance system.
Warning: Unassigned commissions will only appear once the enrolment has an invoice paid in full. If using payment plans, or multiple invoices per enrolment, you can complete this process per invoice.
Create a New Agent Commissions Batch
A batch is required to group paid invoices where a commission is owed to an Agent. Batches can be created daily, weekly or even quarterly. Invoices are able to be continuously added to batches once created. For example you may have a batch for each week and run your agent commissions daily. This will mean that you will add new invoices to the existing batch each day. Once you have created a batch, you will automatically be redirected to the Batch Commissions tab to view your Batch.
- Click Unassigned Commissions
- Click Search
- Enter a New Batch Name
- Click Add to Batch
Note: When creating a new batch, the default name will be today's date. The batch name can be changed by entering the new name into the text box containing today's date.
Add an Unassigned Commission to an existing Batch
An unassigned commission is an invoice that has been marked paid for an enrolment with an agent applied, however the commission has not yet been assigned to a batch.
- Click Unassigned Commissions
- Click Search
- Click the checkboxes on the left to select the Unassigned Commissions
- Select the Batch to assign the commissions to by using the drop-down box
- Click Add to Batch
Tip: Utilise the filters if you wish to display only set agents, or invoices between a date range prior to clicking search. The checkbox in the top left will select all unassigned commissions being displayed.
Note: Once the commissions have been added to a Batch, you will automatically be redirected to the Batched Commissions tab to view your Batch.
Record an Agent Commission as paid
Once you have paid the commissions to the agent via your finance system, you will then need to record the commission as paid against the associated invoice in aXcelerate. The invoice needs to be included in a batch prior to recording the commission as paid.
- Click Batched Commissions
- Use the filters to narrow your search
- Click Search
- Select the Invoices to mark as paid by using the checkboxes on the left
- Select the Batch by using the drop down list
- Click Edit Selected Items
- Select the Payment Method
- Enter the internal Reference
- Enter any required Notes
- Select Mark as Paid
- Edit the Paid Date
- Click Apply to Selected
- Click Submit
Tip: Use the checkbox on the top left of the table to select all invoices that have the same payment details (e.g. payment method & date).
Note: You can also create a new batch rather than selecting an existing one.
Delete a commission from a batch
- Click Batched Commissions
- Use the filters to narrow your search
- Click Search
- Select the invoices to be deleted
- Click Remove selected items
Warning: You can only delete commissions that have not yet been marked as paid.
Download an Agent Commissions CSV file
- Click Unassigned Commissions or Assigned Commissions
- Use the filters to narrow your search
- Select Download results as CSV file
- Click Search
Note: The process to download the unassigned or assigned commissions is the same. Simply ensure that you select the correct tab before proceeding.
