The Trainer Matrix feature allows users to track and manage evidence to support the requirements of vocational competencies, current industry skills, VET knowledge and skills and professional development (clauses 1.13 – 1.16 under Standards for RTOs 2015).
The evidence matrix allows you to upload evidence to aXcelerate for qualifications or individual units that a trainer has competency in. This evidence is also grouped under two sections, TAE evidence and unit evidence.
The evidence matrix area allows you to:
- Track evidence that has been submitted for the selected trainer
- Track the validation status of the evidence that has been submitted

Define your TAE portfolio types
TAE portfolio types are particularly useful for recording trainer TAE qualification evidence or evidence of Professional Development. You must define which portfolio types you wish to use for this evidence prior to entering the Evidence Matrix in order for these types to appear, for example, 'TAE Qualification' and 'TAE Professional Development.'
- Select all applicable TAE Portfolio Types from the selection box
- Drag and drop the Portfolio Types into the order you wish them to appear
- Click Submit
Tip: The TAE Portfolio Types you select are simply your portfolio types in aXcelerate. If you wish to create new TAE Portfolio Types, simply add new portfolio types. If you are unsure of how to do this, please see our Contact Portfolio article.
Set a default trainer competency review period
The default trainer competency review period can be defined in your system settings. This default review period is always in number of month/s and applied to a given unit or TAE-specific portfolio type. This does not represent a validity period—it simply serves as reminder to review the currency of the evidence after a certain period of time. This value can be overridden against individual units.
- Enter your applicable Default Trainer Competency Review Period
- Click Submit
Set specific trainer competency review periods for individual units
The default trainer competency review period can be defined in your system settings for all items of evidence. However, this default option allows you to apply a default for specific units in your system. You may wish to do this, for example, for a Provide CPR unit. This field is always in number of month/s.
- Enter your applicable Trainer Competency Review Period
- Click Submit
Upload TAE evidence
You must first define your TAE portfolio types prior to being able to submit TAE evidence.
- Click Upload Evidence next to the applicable TAE Evidence portfolio type
- Complete the form as required
- Click Submit
Upload unit evidence
You must first allocate a trainers competencies and level of competency prior to submitting evidence.
- Click the checkbox next to the Unit or whole Qualification you wish to upload Evidence for
- Click Upload Evidence
- Complete the form as required
- Click Submit
Note: You can append additional units to existing evidence using this method. However, if the evidence is in an approved or archived state there will be warning recommending the user to set the evidence back to a review status. This is only a warning. No automatic change of status will occur.
Review evidence submissions
To review evidence submissions, this is generally done via the evidence log. However, for TAE Evidence, you are able to review and comment on evidence directly from the evidence matrix.
- Click the Comment icon next to the piece of evidence you wish to review
- Complete the form as required
- Click Submit
Note: To review unit evidence, you will need to use the evidence log.
