The Skills Glossary intends to provide an overview of the terminology used in aXcelerate and by aXcelerate staff. We recommend familiarising yourself with this article when using the aXcelerate Skills feature.
General Concepts
Skills Configuration
The area within the system where Roles and Competencies are managed. From here, users can create new Roles, search for existing Roles, and assign or configure Competencies.
Worker Management
The section within aXcelerate Skills used to oversee and manage Workers (learners) and their related records. Worker Management allows Managers and Administrators to perform a variety of tasks.
Manager User Role
A user role in aXcelerate that provides access to manage Skills and Workers (Learners). Managers can only view Workers within their own Organisation or any Child Organisations within the Organisation Tree.
Organisation Tree
A hierarchical structure representing Organisations and their relationships. A Manager’s visibility is limited to their Organisation and any Child Organisations beneath it.
Parent Organisation
An Organisation at a higher level in the Organisation Tree that contains one or more Child Organisations. Parent Organisations provide oversight of their Child Organisations and can be used to group Workers, Roles, and records under a broader organisational structure.
Child Organisation
An Organisation nested under another Organisation in the Organisation Tree. Managers can view and manage Workers in both their own Organisation and its Child Organisations.
Role
A container assigned to a Worker that holds one or more Competencies required for the Worker to perform their job safely and effectively. Roles can represent real-world positions (e.g., Electrician, Team Leader) or a collection of skills. A Role is considered Valid only when all its required Competencies are current. If any Competency expires, the Role becomes Invalid until the Worker renews or re-achieves the expired Competency.
Role Validity
The status of a Role that indicates whether all required Competencies are current.
- Valid – All required Competencies are up to date.
- Invalid – At least one required Competency has expired.
Validity Period
The timeframe during which a Competency remains valid after completion. Once this period ends, the Competency expires unless the Worker completes Recertification activities.
Recertification
The process by which a Worker renews an expiring Competency. Recertification can be achieved by repeating the original activities or completing specially configured Recertification activities.
Competency
An activity or skill that determines the validity of a Role. Competencies must be completed and remain current for a Worker to maintain a Valid Role. They are the core component of a Role and can be marked as Mandatory or Additional.
Competency Obligation
Defines whether a Competency within a Role is required or optional for a Worker.
- Mandatory – Required for all Workers assigned to the Role.
- Additional – Optional by default but can be set to Required after the Role is applied to a Worker, or left as Ignored.
Tip: All new Competencies are Mandatory by default unless changed.
Mandatory Competency
The area within the system where Roles and Competencies are managed. From here, users can create new a Competency that must be completed by all Workers assigned to the Role to maintain Role Validity.
Additional Competency
A Competency that is optional by default when included in a Role. It can later be set to Required (functioning like a Mandatory Competency) for specific Workers or left as Ignored if not needed
AQF Competency
Represents a Qualification or Unit of Competency from the Australian Qualifications Framework (AQF) that can be added to a Competency as an activity.
Prerequisite Competency
A Competency that must be achieved before a Worker can start another Competency (the child Competency).
Example: Basic First Aid must be completed before starting Advanced First Aid.
Child Competency
A Competency that depends on another Competency (the prerequisite) being achieved first.
Option Groups
Groups of alternative activity pathways that lead to the same Competency. Workers only need to complete the activities in one option group to achieve the Competency.
Example: Option 1 might require attending a Workshop and completing an Assessment, while Option 2 could require uploading evidence to a Portfolio and completing an Assessment.
Competency Status
Statuses show the progress and current state of a Competency for a Worker.
- Not Started – No linked activities have been started.
- In Progress – The Worker has started activities linked to the Competency but has not completed all requirements.
- Pending – Activities have been completed but require manual approval by a Manager (usually due to a rule being applied).
- Achieved – The Worker has completed all requirements successfully and the Competency is valid.
- Revoked – Achievement of the Competency has been manually removed by a Manager.
- Expiring Soon – The Competency is nearing its expiration date.
- ReCert In Progress – Recertification activities have been started and are underway.
- Expired – The validity period has passed and the Competency is no longer current.
Competency Requirements
The set of activities a Worker must complete to achieve a Competency. These activities may include:
- E-Learning
- aXcelerate Lessons
- aXcelerate Assessments
- Portfolio Types
- Workshops
- Classes
- Other Competencies
Competency as a Requirement
A Competency that must remain valid throughout the enrolment period of another Competency. It acts as a continuous condition for completion.
Recognition of Prior Learning (RPL)
A process that allows a Worker to submit evidence, such as documents, proving they have previously achieved a Competency.
Accredited Activity
Tracks training that counts toward both a Competency in Skills and an accredited qualification or compliance requirement.
Example: First Aid training used for both compliance and certification.
Competency Achievement
A record generated when a Worker successfully completes a Competency.
Methods of achievement include:
- Requirements – Completing all required activities.
- Equivalency – Recognition via an equivalent Competency.
- Prior Learning – Approved evidence of prior achievement.
- Recertification – Completing Recertification activities.
- Manually Issued – A Manager directly awards the Competency.
Accredited Activity
Tracks training that counts toward both a Competency in Skills and an accredited qualification or compliance requirement.
Example: First Aid training used for both compliance and certification.
Achievement
Proof that a worker has successfully completed a Competency or a Role, showing capability to perform a task or duty.
Authorisation
A formal allowance stating a worker is permitted to perform a task or duty. Builds on an Achievement by confirming permission, not just capability.
Requirements (for Authorisation)
Items a worker must complete, provide, or obtain for the Authorisation to be issued. Can include a Skill, a Competency, an existing Authorisation as a child Authorisation, or a Portfolio item.
Child Authorisation
An Authorisation that is included as a requirement inside another Authorisation. The worker must meet the child Authorisation to hold the parent Authorisation.
Validity of an Authorisation
An Authorisation remains valid while all of its requirements are current and achieved. If any required item has an expiry period and it expires, the Authorisation lapses until that item is met again.
Automatic re-issue after Recertification
When an expired required item is renewed, for example through recertification, the Authorisation is automatically re-issued. The Authorisation’s expiry aligns with the earliest expiry among its required items.
Skills Matrix
The Skills Matrix is a visual dashboard that provides Managers and Administrators with a clear overview of the current state of Competency validity across multiple Workers.
Authorisation Matrix
The Authorisation Matrix is a visual dashboard that displays the current status of Authorisations across multiple Workers.
