Workflow Action: Create a Workshop User Task

This action will allow you to create and assign user task when the Automated Task is run based on Workshop Creation Date, Start Date or End Date.

New Automated Task

Create a User Task to remind Trainers to gather resources for a upcoming workshop 

This could be used to remind a trainer or admin to gather resources 2 days prior to the workshop start date. 

  1. Navigate to Settings > Workflow
  2. Hover over Automated Tasks and click on New Automated Task. 
  3. Name: eg  TRAINER: Creates a User Task to remind to gather resources
  4. Description: eg This workflow will create a User Task for the trainer upon a workshop creation and set the due date to be 2 days prior to the Workshop Start Date 
  5. Action: Choose Create a Workshop User Task
    1. Name: eg Gather Resources for your upcoming workshop
    2. Description: eg Please gather all your resources that you require for this Workshop in 2 days.
    3. Task Owner: Workshop Trainer
    4. Task Requester: by default it will choose API User or you can choose another user to be the requester
    5. Priority: choose your priority
    6. Category: choose a category (if you don't have a category you will be able to create a new one)
    7. Due Date: eg 2 days before Workshop Start Date
    8. Reminder Date: eg 1 day after Due Date
  6. When To Run
    1. Trigger: 2 days before Workshop Start Date
  7. Conditions: can be used to filter on certain workshop types or coordination type 
  8. Click Save automated task
 

Note: This action can be used to allocate tasks to Workshop Owner, Workshop Trainer or another aXcelerate User.
