The Trainer App has been designed to be utilised by both Administrator and Trainer aXcelerate users. The App allows trainers to view their pre-arranged training, calendar events, due tasks, enrolled students, Online Assessments submissions, and mark student attendance; amongst other administration tasks.
Please note that the "Trainer App" is different to the new "aXcelerate App" and they function differently from one another.
Tip: The Today page will display on first log in. This page allows you to view training delivered today, events to attend today and tasks due today. On the Today page, the cloud icon allows you to import new contacts and the refresh icon allows you to load new training, events and tasks added by an administrator. Both tasks are only available online.
Note: Your RTO needs to create your access and manages your permissions for the App. If you are unable to login to the App or do not have the necessary permissions to access the App, please contact your RTO Administrator.
Warning: Online Assessments are only available in the App when your RTO has an aXcelerate Turbo license. All other features are accessible with aXcelerate Standard.
Download the Trainer App
The Trainer App is available on the Apple App Store and and Google Play Store.
- Open your App Store
- Search for 'aXcelerate'
- Download the App
Note: The App is free but you will need an aXcelerate account to be able to login and use it.
Log Into the Trainer App
- Enter your Username
- Enter your Password
- Click Login
Tip: Your trainers can login into Staging by using the flip switch at the top right of the login screen. This will allow your trainers to practice without affecting real data.
Note: Your username will typically in the format of 'Firstname.Lastname'.
Log Out of the Trainer App
- Click the Today Tab
- Click your Profile icon
- Click Logout
Using the Trainer App Offline
The Trainer App is available offline, simply login as normal. An orange banner will appear indicating that you are working offline when no wifi is available.
Note: You can force offline mode while connected to Wifi from your User Settings.
Warning: When working offline, no new data will appear. The only data that will display is from when you last used the App online.

Configure Trainer App Menu Settings
This allows a user to change which menu items appear at the bottom of their screen.
- Click Today
- Click your Profile icon
- Click Settings
- Click Menu Settings
- Select which menu items will appear in the menu
Tip: A maximum of 4 items can be set to appear at the bottom navigation menu. The remaining settings will appear under the Menu button in the bottom right.

Configuring Resulting Settings
This allows you to update the code that is applied for Interim, Withdrawn, Fail and Complete outcomes when resulting students’ unit enrolments.
- Click Today
- Click your Profile icon
- Click Settings
- Click Resulting Settings
- Make required changes
View the Trainer App Calendar
The Calendar Menu allows users to view training and events per day. The calendar colours that appear next to each event have been determined by the RTO.
- Click the Calendar
- Click on an Event to view its details
Tip: Select a different date to view events taking place during that period. To move to a different day, select the arrow under the weekdays and scroll to see past or future months.
Tip: The Owner of the Workshop is also able to access events using the calendar.
Updating Tasks
Your RTO Administrator may add tasks for you to complete. Any outstanding tasks will appear on the Tasks page and show the details of the task. You can update tasks that you have been assigned to and update the details of the task or mark them as completed.
- Click the Task Menu button
- Click the Task
- Click the Plus icon
- Click Edit Task
- Make required updates
- Click Save
Adding notes to tasks
Notes can be set against tasks that you have been assigned to. Notes can be viewed against your Contact Profile and will show the task that the note was related to.
- Click the Task Menu button
- Click the Task
- Click the Plus icon
- Click Add Note
- Select Note Type
- Enter the Comment
- Click Submit
View Courses
The Courses Menu allows you to view Courses that are scheduled for today.
- Click Courses
- Click a Course to view its details
Note: Click the Calendar con to return to the Calendar page
Search Events
You can search all events that you are linked to.
- Click Calendar
- Click the Search icon
- Enter your search terms
- Click on an Event to view its details
Search Courses
You can search for all courses that you are delivering or attending. This search will only show training related events.
- Click Courses
- Click the Search icon
- Enter your search terms
- Click on a Course to view its details
Add a Course Note
Notes can be added against courses that you are delivering and can be used to communicate with the RTO administrators.
- Click on a Course
- Click the Plus icon
- Click Add New Course Note
- Add the Comment
- Click Submit
Search Contacts
The Contacts Menu allows you to search for and add contacts.
- Click Contacts
- Search by entering the name in the search box
- Click on the Contact to view their Contact Profile
Tip: When viewing a Contact Profile, use the tabs on the top to move between the contact's Profile, Notes and Enrolments.
Add a Contact
- Click Contacts
- Click the Add Contact button
- Enter the Given Name
- Enter the Surname
- Enter the Email Address
- Click Submit
Warning: You may not have permissions to add a Contact, if this is the case you will see a 'Contact Creation Failed' error message.
Update a Contact
- Click Contacts
- Search for a Contact
- Click the Update icon
- Make changes to the contact details as required
- Click Submit
Add a Contact Note
Notes can be added against a Contact and appear on their Contact Profile. This can be useful for leaving information about a student for the RTO administrators.
- Search for a Contact
- Click Notes
- Click the add button
- Click the Add New Contact Note
- Select the Note Type
- Enter the Note
- Click Submit

Send an SMS to a Contact
- Search for a Contact
- View their Contact Profile
- Click the Mobile Phone icon
- Click Send SMS (via aXcelerate)
- Enter the message Content
- Click Submit
Tip: Click the Telephone icon or select Call or SMS after clicking the Mobile Phone icon to send a message directly from your phone or call the contact.
Email a Contact
- Search for a Contact
- View their Contact Profile
- Click the Envelope icon
- Click Email Via aXcelerate
- Enter the email Subject
- Enter the email Content
- Click Submit
Tip: Select Email Through Mail Client after clicking the Envelope Icon to email a contact directly from your email account.
View a Contact's Enrolments
- Search for a Contact
- View their Contact Profile
- Click Enrolments
Tip: Click the Plus icon to hide particular course types.
Enrol a Contact
- Search for a Course using the Calendar
- Select the Course
- Click the Plus icon
- Click Enrol Students
- Search for a Contact
- Click on a Contact to add them to the enrolment
- Click Enrol
Tip: Options allow you to override Closed Courses and the Invoice Student(s) options. You can also assign the same Study Reason to all enrolments - this is a required AVETMISS field.
Warning: You will need the Enrol permission to complete this action.
View students enrolled in a course
- Search for a Course
- Click on the Course
- Click Students
Mark Attendance in the Trainer App
- Search for a Course
- Click on the Course
- Click Students
- Click Attendance
- Click Mark All to mark all students as attended; or
- Click on a Student to update their status to attended or not attended
- Click Submit
Tip: Click & Hold on a Student to add a note or update their attended hours.
Note: A green tick signifies attended, a red cross signifies not attended.
Warning: Attendance can be marked only for class enrolments.
Mark Assessments in the Trainer App
The Trainer App is useful to mark a students assessment as they complete tasks in real time. There are 4 different assessment types: Marking Criteria, Observation, RPL and Quiz. As the Trainer App has been designed to mark a student while observing their skills, the below instructions are for an observation assessment
- Click Assess
- Select an Assessment
- Click Students
- Select a Student
- Click Start Assessing, this will create their first assessment attempt
- Click Mark All to result all items and click Save Responses; or
- Select individual items to result and click Submit
- Enter feedback
- Add signatures
- Click Finalise
Tip: An item can only be resulted once a submission has been made. You can only Mark All Items when the result options are the same. For example, all items have a Satisfactory or Not Satisfactory option.
Note: The Details tab provides information about the assessment. The Student tab provides a list of enrolled students and their assessment status, attempts and results.
Warning: You need to have the relevant permissions and be the assigned trainer to mark assessments.
Result Units via the Trainer App
- Search for a Course
- Click on the Course
- Click Students
- Click Show Units
- Select a Unit for a Student
- Select the Outcome
- Update the Start and End Dates
- Add Comments
- Click Submit
